Job Summary

We are seeking a highly organized and detail-oriented Patient Care Coordinator to join our team at Orthopedic One. The successful candidate will provide exceptional support to our physicians and staff, ensuring seamless patient care and administrative processes.

Key Responsibilities
  • Clinic Operations
    • Assist surgeons during office hours by facilitating patient flow, checking patients out, and scheduling follow-up appointments.
    • Provide patient education related to treatment plans.
    • Perform various clerical duties, including copying, faxing, scanning, and filing patient documentation as needed.
    • Communicate changes to the clinic schedule as needed.
    • Respond to patient concerns or questions in a helpful and objective manner, involving physicians, mid-levels, or supervisors as appropriate.
    • Coordinate with the front desk/registration and clinical team to assist with patient visits and flow.
    • Help facilitate rescheduling of appointments when necessary if physicians are running behind.
  • Administrative Support
    • Book surgeries and complete associated paperwork, prepare consents, and obtain insurance pre-certification as needed.
    • Schedule, cancel, and reschedule appointments and testing for patients.
    • Assure that special surgical instruments/devices or DME have been ordered for surgery and post-op care.
    • Send completed pre-admission testing to the appropriate surgery location prior to patient surgery.
    • Prepare x-rays and other patient information for doctors to take to surgery.
    • Complete chart preparations to meet physician preferences/specifications, including printing documentation from hospitals, printing images, and scanning documentation into the EMR.
    • Respond timely to various communications from providers, patients, peers, and surgery center or hospital staff.
    • Complete disability forms or other documents requested by patients, reviewing with physicians as needed.
    • Work with the Patient Accounts department to facilitate accurate and timely billing, including ensuring charges are entered, e-bills are complete, and/or assisting with resolution of any missing information or answering questions as needed.
    • May provide coverage for vacation/sick calls for other team members.
    • Place prescription refill orders at the direction of physicians/mid-levels.
    • Update and maintain patient documentation in the EMR system.
  • Teamwork and Communication
    • Work cooperatively with coworkers, providers, and management.
    • Share knowledge and insights with coworkers in a constructive manner.
    • Willingly provide coverage to the department, staying beyond scheduled ending times when clinic schedules demand it, volunteering to cover time off or unexpected absences, and maintaining workflow in the department without direct supervision.
    • Address conflicts with individuals directly before involving managers or uninvolved peers.
    • Be considerate of others with regard to taking breaks or meal periods, use of computers and telephones, and noise in the department.
  • Policies and Procedures
    • Know and comply with policies and procedures as enumerated in the Orthopedic One Employee Handbook and policies and procedures documents.
    • Provide assistance and support to leadership in implementing policies and procedures as necessary.
    • Actively participate in training and conduct day-to-day work activities by adhering to all policies and procedures as enumerated in compliance and risk management programs.
