Job Summary:

As an Office Assistant with Workforce Solutions Capital Area, you will perform a range of basic office support activities such as writing and responding to emails, directing calls, greeting and directing visitors, answering questions and performing routine clerical, data entry, and/or word processing work as assigned.

Duties/Responsibilities:

Oversee clerical tasks, such as sorting and sending mail

Maintain an inventory of office supplies and order new materials as needed

Keep files organized and up-to-date

Welcome visitors to the office and provide assistance as needed

Answer phone calls and take messages

Ensure the office runs smoothly and efficiently

Schedule meetings and send meeting invites to attendees

Perform other related duties as assigned.

Excellent verbal and written communication skills

Excellent interpersonal and public service skills

Excellent organizational skills and attention to detail

Excellent time management skills with a proven ability to meet deadlines

Strong analytical and problem-solving skills

Ability to prioritize tasks and research when appropriate

Ability to function well in a high-paced and at times stressful environment

Proficient with Google Workspace or related software

Ability to work well with youth, parents, and the general public

Education and Experience:

High school diploma or equivalent

Current office management/office assistant and/or compensation credentials or certification preferred

Technology Requirements:

500mbps internet connection

Access to a reliable computer with Windows OS

Access to a working phone to be used for work purposes

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer

Ability to lift up to 15 pounds at times
