Position Overview:
The Wake Forest University School of Business is on the lookout for a dedicated individual to fill the role of Program and Site Coordinator at the Charlotte Center. This position is integral in delivering administrative assistance to the MBA Team, Directors, and Professors.

Key Responsibilities:
  • Act as the Charlotte Site Coordinator, managing daily operations and vendor relations for the Charlotte Center facility.
  • Serve as the primary liaison with vendors and the academic community to address maintenance, event coordination, and access requirements.
  • Provide programmatic support for Integrative Student Services, Market Readiness and Engagement, and Enrollment Management for the Charlotte MBA programs.

Essential Duties:
  • Assist the Director/Site Lead in overseeing the Charlotte facility, collaborating closely with facility-related vendors and main campus staff.
  • Organize catering services for all events, including class meals.
  • Manage cleaning service requests and maintain the Charlotte Main calendar.
  • Coordinate logistical and administrative functions related to the MBA program experience.
  • Support student programming events and facilitate program-wide communications.
  • Act as the first point of contact for visitors to the Charlotte facility.
  • Work with the Charlotte team to ensure on-site support for students.
  • Oversee the timely ordering, receipt, and distribution of textbooks.
  • Manage invoices and track all expenses related to the Charlotte MBA programs.
  • Maintain supplies for the office, classrooms, pantry, and refrigerator.
  • Perform additional duties as assigned.

Qualifications:
  • High School diploma or equivalent, with a minimum of three years of relevant experience.
  • General understanding of daily operations associated with managing a multipurpose facility.
  • Strong organizational skills with the ability to coordinate multiple activities effectively.
  • Proficiency in computer skills relevant to the position.
  • Capability to research and resolve maintenance issues.
  • Excellent verbal and written communication skills.
  • Aptitude for building relationships and partnerships.
  • Meticulous attention to detail.

Preferred Qualifications:
  • Associate degree.

Physical Requirements:
Primarily involves sitting and standing, communicating with others, and assessing the accuracy of work. Occasionally requires lifting or moving objects up to 25 pounds.

Accountability:
Responsible for personal work and may oversee vendor activities.
