Job Overview

Position: Support Staff Specialist

Key Responsibilities: In this position, you will carry out front desk and administrative tasks to facilitate office functions and assist clinical personnel. Your role includes welcoming and assisting clients, visitors, and other contacts while providing effective general guidance and support. Daily tasks involve answering phone calls, maintaining records, typing, creating documents, and performing various administrative duties.

Location: Our services are provided in multiple locations within the region.

Essential Duties and Responsibilities:

  • Perform front desk and administrative functions to support office operations and clinical staff. Greet and assist clients, visitors, and other contacts while providing effective general guidance.
  • Check clients in and out of the office, ensuring accurate verification of demographic information, including address, phone number, insurance details, and co-pay amounts.
  • Collect client insurance co-payments and account balances, logging payments accurately. Scan insurance cards and route calls to the billing department.
  • Manage telephone operations, including answering calls, responding to routine inquiries, routing calls, and returning messages left by callers.
  • Input client demographics, insurance information, health history, and other relevant data into Electronic Health Record software.
  • Ensure that clinical staff schedules are fully booked.
  • Open and close the office, ensuring it is operational during posted hours.
  • May assist with the distribution of inter-departmental mail.
  • Maintain confidentiality regarding HIPAA and other sensitive information.
  • Exhibit professionalism and integrity in all job-related activities.
  • Stay informed about current trends and best practices in the field. Participate in required training relevant to the role and behavioral healthcare.
  • Perform job responsibilities in accordance with organizational policies, procedures, and applicable laws and regulations.
  • Adhere to assigned schedules, demonstrating regular and punctual attendance, and be available to work outside of normal hours as necessary.

Additional Responsibilities:

  • Complete other tasks as assigned.

Qualifications: Candidates should possess strong written and verbal communication skills, along with the ability to collaborate effectively with other service providers. A High School Diploma or GED is required, along with one to three years of experience in office administration. Basic computer, phone, and typing skills are essential for all positions.
