Job Overview

Position: Support Staff Specialist

Location: Our facilities are situated in Newark and Mount Vernon, Ohio, easily accessible from surrounding areas.

Essential Duties and Responsibilities:

  • Perform front desk and administrative tasks to support office functions and clinical staff. Greet and assist clients, visitors, and other contacts while providing general guidance and support. Maintain records, type, create documents, and carry out other administrative duties.
  • Check clients in and out of the office, providing general directions and assistance. Verify client demographic information, including address, phone number, insurance details, and co-pay amounts.
  • Collect client insurance co-payments and account balances, logging payments and scanning copies of insurance cards. Transfer calls to billing as necessary.
  • Manage telephone operations by turning phones on and off during designated hours, answering calls, addressing routine inquiries, routing calls, and returning messages.
  • Input client demographics, insurance information, health history, and other relevant data into Electronic Health Record software.
  • Ensure clinical staff schedules are adequately filled.
  • Open and close the office, ensuring it operates during posted hours.
  • May distribute inter-departmental and other mail to various locations.
  • May be assigned to work in different counties.
  • Maintain confidentiality of HIPAA and other sensitive information.
  • Exhibit the highest level of integrity and professionalism in all job-related activities.
  • Stay informed about current trends and best practices in the field. Participate in required training relevant to the role and behavioral healthcare.
  • Perform job responsibilities and maintain records in accordance with organizational policies, procedures, and applicable laws.
  • Adhere to assigned schedules, demonstrating regular and punctual attendance, and work outside normal hours as needed.

Additional Duties:

  • Carry out other responsibilities as assigned.

Qualifications: Candidates should possess strong written and verbal communication skills, along with the ability to collaborate effectively with other service providers. A High School Diploma or GED is required, along with one to three years of experience in office administration. Basic computer, phone, and typing skills are essential for all positions.
