EVENT COORDINATION SPECIALIST FOR CAMPUS VISITS

POSITION SUMMARY

As a vital member of the Admissions & Enrollment Marketing team, you will be the primary individual responsible for orchestrating and executing all undergraduate and graduate admissions events. This role includes co-managing the training and supervision of student staff, overseeing campus visitors, coordinating group visits, and analyzing event attendance data.

KEY RESPONSIBILITIES
  • Oversee the planning, management, and execution of both in-person and virtual admissions events, including on-campus activities such as admitted student days, open houses, and information sessions, as well as off-campus events targeting counselors and prospective students.
  • Provide logistical support for on-campus events, which involves liaising with faculty and staff for presentations, managing event budgets, scheduling student staff, preparing visitor materials, and collaborating with various campus offices to ensure event setup requirements are met.
  • Conduct analytical evaluations of all on and off-campus events, including open houses, yield events, and counselor outreach.
  • Coordinate the prospective student visit program by arranging individual meetings with faculty and coaches for guests, ensuring their visit needs are communicated and met through collaboration with campus hosts.
  • Act as the primary contact for external high school groups or community organizations wishing to visit the campus.
  • Utilize SLATE (CRM) to build admissions events and collaborate with the enrollment marketing team to enhance attendance. Leverage SLATE’s capabilities for effective planning and performance evaluation.
  • Regularly survey admissions visitors to gauge event satisfaction and develop questionnaires as needed.
  • Maintain ongoing collaboration and communication with the Campus Event and Visit Coordinator-North.
  • Supervise the student tour guide and ambassador program, which includes coordinating daily campus visits, training student staff, creating work schedules, and managing the daily operations of student workers.
  • Perform additional related duties as assigned.
SUPERVISION

General supervision and guidance will be provided by the Director of Enrollment Operations.

SUPERVISORY RESPONSIBILITIES

Oversee student tour guides and ambassadors, including hiring new student employees, scheduling work hours, granting time-off, evaluating performance, coaching, and addressing any grievances.

MINIMUM QUALIFICATIONS
  • Bachelor's degree.
  • Two (2) years of progressive leadership experience in higher education admissions or enrollment management, or a related field such as business development, marketing, or continuous improvement.
  • Current, valid driver's license and insurable driving record.
  • Flexible schedule.
  • Willingness to travel, primarily within the state.
PREFERRED QUALIFICATIONS
  • Three (3) or more years of admissions experience with a focus on event planning.
  • Hands-on experience with customer relationship management systems such as SLATE and student information systems.

LOCATION: This position will be based on the Castleton campus of Vermont State University.
