Job Summary

The Senior Billing Coordinator will play a critical role in supporting the warehousing and logistics team by overseeing the full cycle billing process, ensuring accurate and timely invoice allocation and reconciliation, and maintaining vendor records in Oracle. This position requires exceptional planning, time management, and organizational skills, as well as a strong attention to detail and ability to meet tight deadlines.

Key Responsibilities
  • Process a high volume of invoices (over 3K invoices per month) and handle tracking for freight and logistics accounts, including collecting and analyzing data to validate information provided by vendors.
  • Research and resolve billing issues related to vendor payments, invoice processing, rate discrepancies, missing backup documentation, and vendor updates in Oracle.
  • Assist with month-end accruals and year-end closing processes, tracking invoice submissions, downloading and archiving vendor backup documentation, reviewing suppliers' statements, and providing payment updates.
  • Team up with Global Supplier Maintenance to update and set up new suppliers in the vendor maintenance system, complying with multi-step processes per company policy.
  • Process multi-step network access requests for external contractors, including remote access to Infoship and Oracle.
  • Process check payment requests for the department.
  • Schedule repairs and service for the warehouse facility, including equipment and building operations.
  • Sort mail from vendors and forward invoices to AP.
Requirements
  • Associates degree or equivalent combination of education, training, and experience.
  • At least 2 years of progressively responsible experience providing invoice processing, reconciliation, coordination, and administrative support.
  • Working knowledge of accounting principles, excellent follow-up skills, and ability to manage multiple projects to completion.
  • Strong attention to detail, high level of flexibility, and ability to function in a dynamic environment.
  • Excellent written and oral communication skills, demonstrated sense of urgency in completing assignments, and professionalism in dealing with vendors and senior professionals.
  • Highly organized, self-motivated, and able to work independently, with strong analytical skills and proficiency in Microsoft Office programs, including Excel.
