Key Responsibilities:

  • Oversee calendar management in Outlook for the Chief Data & Analytics Officer and their direct reports.
  • Coordinate comprehensive travel arrangements and logistics, including itinerary development and expense report management.
  • Collaborate with various departments to effectively relay important employee information (such as transfers, recognitions, and anniversaries) to relevant stakeholders.
  • Prepare and generate departmental reports, organizational charts, talent tracking documents, year-end feedback, and surveys.
  • Create, consolidate, and refine PowerPoint presentations, agendas, meeting summaries, and other materials to support departmental meetings.
  • Assist in the onboarding process for new hires.
  • Support invoicing, budget tracking, accruals, and project entries for the Chief Data & Analytics Officer and their team.
  • Manage verbal requests, correspondence, and emails to facilitate departmental operations.
  • Welcome and assist visitors to the department.
  • Maintain key distribution groups and lists for the team.
  • Organize weekly team communications.
  • Plan and coordinate team off-site events and workshops, including preparing agendas, meeting notes, and following up on action items.

Qualifications:

  • Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent communication and critical thinking skills.
  • Ability to cultivate a robust network within the organization, both formally and informally.
  • Proactive mindset with a willingness to exceed basic responsibilities to support the team.
  • Proven ability to handle and maintain confidential information.
  • Quick learner with the capacity to grasp complex business issues.
  • Highly organized, motivated, and detail-oriented with exceptional follow-through.
  • Capable of prioritizing tasks and performing well under pressure.
  • Strong attention to detail and efficiency in managing large volumes of work.
  • Experience in planning meetings or events is a plus.
  • Adaptable to a constantly evolving business environment.
