Position Title: Director of Medical Staff Services


Position Summary:
The Director of Medical Staff Services plays a pivotal role in the healthcare organization, reporting directly to the Chief Executive Officer and Chief Medical Officer. This position is responsible for the holistic management of all activities associated with the medical staff.

This role ensures the efficient functioning of the department, focusing on the creation and implementation of programs and procedures pertinent to medical staff operations. Compliance with federal, state, and other regulatory standards is a key aspect of this position. The Director serves as a crucial liaison between administration and medical personnel, overseeing departmental staff.


Key Responsibilities:


Financial Oversight:

  • Budget Planning: Assist in preparing the departmental budget.
  • Financial Compliance: Ensure departmental operations remain within budget while striving to exceed financial objectives.
  • Cost Management: Effectively manage departmental expenses, identifying cost-saving opportunities and preparing for unforeseen costs.
  • Staffing Efficiency: Collaborate with leadership to adjust staffing levels in line with organizational goals and patient care requirements.
  • Capital Management: Engage in vendor selection for services and budget for essential capital equipment.

Organizational Engagement:

  • Service Quality: Promote respectful and collaborative relationships with colleagues, providers, patients, and families, continuously seeking improvements in service delivery.
  • Leadership Participation: Actively engage in leadership and staff recognition initiatives.
  • Policy Formulation: Develop and implement policies and procedures to enhance service delivery.

Human Resource Management:

  • Staffing and Recruitment: Ensure adequate staffing levels and address turnover effectively to minimize service disruptions.
  • Employee Retention: Develop strategies to retain high-quality personnel and manage turnover in alignment with organizational objectives.
  • Performance Oversight: Monitor staff qualifications and competencies, providing timely feedback and conducting performance evaluations. Manage staff development and compliance with job expectations.
  • Training and Development: Identify and address staff learning needs, facilitating relevant training opportunities.
  • Conflict Management: Establish open communication channels and provide timely interventions in conflict situations.

Quality Management:

  • Process Enhancement: Engage in ongoing process improvement using data-driven methodologies.
  • Quality Assurance: Ensure departmental and organizational quality benchmarks are achieved.
  • Regulatory Readiness: Maintain preparedness for regulatory evaluations and address any issues promptly.

Specialized Duties:

  • Medical Staff Relations: Foster positive relationships with medical staff and allied health professionals, emphasizing service enhancement.
  • Compliance Assurance: Ensure medical staff practices align with regulatory mandates and organizational policies.
  • Documentation Management: Coordinate and maintain medical staff governance documents, ensuring accurate recordkeeping.
  • Support Provision: Offer resources and education to medical staff and other healthcare professionals regarding performance assessment and risk management.
  • Liaison Function: Serve as a bridge between medical staff, administration, and other key stakeholders.

Qualifications:

  • Education: A Bachelor's degree in a relevant field is required; a Master's degree is preferred.
  • Experience: 5-7 years in medical staff services, with a minimum of 3 years in a leadership capacity. Experience in acute care settings is preferred.
  • Certifications: Certified Professional in Medical Services Management (CPMSM) is required; Certified Provider Credentialing Specialist (CPCS) is preferred.
  • Skills: Strong leadership, organizational, communication, and interpersonal skills. Proficiency in regulatory standards, critical thinking, and time management.

Essential Skills:

  • Communication: Proficient in interpreting business and regulatory materials, drafting policies, and effectively presenting information.
  • Mathematics: Competence in basic to intermediate math skills, including statistical analysis.
  • Reasoning: Strong problem-solving abilities and the capacity to interpret various forms of instructions.
  • Technical Skills: Knowledge of relevant computer applications and the ability to resolve escalated issues.
