Position Title: Director of Medical Staff Services


Position Summary:
The Director of Medical Staff Services plays a pivotal role in overseeing the complete management of all functions associated with the medical staff. Reporting directly to the Chief Executive Officer and Chief Medical Officer, this position is essential for ensuring the efficient operation of the department.

This role encompasses the development and implementation of programs and procedures pertinent to medical staff operations while ensuring adherence to federal, state, and other regulatory standards. The Director serves as a crucial link between administration and medical personnel, supervising departmental staff.


Key Responsibilities:


Financial Oversight:

  • Budget Planning: Assist in the preparation of the departmental budget.
  • Financial Compliance: Ensure the department operates within budgetary constraints while striving to exceed financial objectives.
  • Cost Management: Effectively manage departmental expenses, identifying cost-saving opportunities and preparing for unforeseen costs.
  • Staffing Efficiency: Collaborate with leadership to adjust staffing levels in alignment with organizational goals and patient care requirements.
  • Equipment Procurement: Engage in vendor selection for services and budget for essential capital equipment.

Organizational Engagement:

  • Service Quality: Promote respectful and collaborative relationships with colleagues, providers, patients, and families, continuously seeking improvements in service delivery.
  • Leadership Participation: Actively engage in leadership and staff recognition initiatives.
  • Policy Formulation: Develop and implement policies and procedures that support effective service delivery.

Human Resource Management:

  • Staff Recruitment: Ensure appropriate staffing levels and manage turnover to minimize service disruptions.
  • Employee Retention: Implement strategies to retain high-quality personnel and manage turnover within organizational benchmarks.
  • Performance Oversight: Monitor staff qualifications and competencies, providing regular feedback and conducting timely performance evaluations.
  • Professional Development: Identify and address the training needs of staff, facilitating relevant educational opportunities.
  • Conflict Management: Establish open communication channels and provide timely interventions in conflict situations.

Quality Assurance:

  • Process Enhancement: Engage in ongoing process improvement initiatives utilizing data-driven methodologies.
  • Quality Standards: Ensure that departmental and organizational quality benchmarks are consistently met.
  • Regulatory Preparedness: Maintain readiness for regulatory evaluations and promptly address any identified issues.

Specialized Duties:

  • Medical Staff Relations: Foster positive relationships with medical staff and allied health professionals, focusing on service enhancement.
  • Compliance Assurance: Ensure that medical staff practices align with regulatory mandates and organizational policies.
  • Documentation Management: Coordinate and maintain medical staff governance documents, ensuring accurate recordkeeping.
  • Support Services: Provide resources and education to medical staff and other healthcare professionals regarding performance assessment and risk management.
  • Liaison Functions: Act as a bridge between medical staff, administration, and other key stakeholders.

Qualifications:

  • Education: A Bachelor's degree in a relevant field is required; a Master's degree is preferred.
  • Experience: 5-7 years in medical staff services, with a minimum of 3 years in a leadership capacity. Experience in acute care settings is preferred.
  • Certifications: Certified Professional in Medical Services Management (CPMSM) is required; Certified Provider Credentialing Specialist (CPCS) is preferred.
  • Skills: Strong leadership, organizational, communication, and interpersonal skills. Proficiency in regulatory standards, critical thinking, and time management.

Essential Skills:

  • Communication: Proficient in interpreting business and regulatory documents, writing policies, and effectively presenting information.
  • Mathematics: Competence in basic to intermediate math skills, including statistical analysis.
  • Reasoning: Strong problem-solving skills and the ability to interpret various forms of instructions.
  • Technical Skills: Knowledge of relevant computer applications and the ability to resolve escalated issues.
