The Office Coordinator role encompasses the following responsibilities:

  • Overseeing daily office operations, including mail processing, managing incoming calls, and maintaining office supplies.
  • Conducting initial consultations with prospective clients, scheduling appointments, and sending follow-up confirmation communications.
  • Coordinating the team calendar to ensure efficient scheduling.
  • Managing client billing processes, including invoice preparation, payment collection, and oversight of outstanding accounts.
  • Handling client expenses and vendor invoicing.
  • Occasionally performing errands as required.
  • Working full-time in the office environment.

Ideal Candidate:

  • Experience: Previous office experience is preferred, ideally within a legal context. Familiarity with billing processes is a plus, but we are willing to train the right individual.
  • Technical Proficiency: Must be adept with office technology and comfortable troubleshooting common technical issues.

  • Organizational Skills: Highly organized, dependable, with a keen attention to detail. The candidate should be proactive in managing their responsibilities and comfortable seeking assistance when needed.
  • Transportation: Must have access to a reliable vehicle with appropriate insurance and registration.
