Office Administrator

This role requires a dedicated individual to manage front desk operations and provide administrative support within a professional environment.
Key Responsibilities:
- Welcome and guide visitors upon arrival, ensuring a positive first impression.
- Operate a multi-line phone system to manage incoming calls, directing them to the appropriate departments or personnel.
- Retrieve and relay messages from voicemail to relevant staff members.
- Provide information about the organization, including directions and general inquiries.
- Monitor visitor access, issue passes as necessary, and maintain appointment schedules.
- Handle incoming and outgoing mail, ensuring proper sorting and distribution.
- Maintain office supplies inventory, placing orders as needed.
- Perform clerical tasks such as filing, photocopying, and document preparation.
Skills and Qualifications:
- Proficiency in Microsoft Office Suite.
- Strong written and verbal communication skills.
- Ability to interpret and manage various documents and instructions.
- Capable of performing basic mathematical calculations.
- Excellent problem-solving abilities and adaptability in dynamic situations.
- Customer service-oriented with the ability to manage challenging interactions effectively.
