Key Responsibilities:
- Welcome and guide visitors in the office environment.
- Manage a multi-line phone system to handle incoming calls and direct them appropriately.
- Retrieve and relay messages from voicemail to the relevant staff.
- Respond to incoming calls, ascertain the purpose, and connect callers to the right department; take messages or redirect calls to voicemail as necessary.
- Provide information about the organization and assist callers with directions and other inquiries; greet on-site visitors, assess their needs, and notify the relevant personnel.
- Oversee visitor access and issue passes when necessary, manage appointment schedules, prepare travel documentation, and process payments for services.
- Handle incoming mail, sort and distribute it; maintain publications; assist with fax operations, including sending and receiving faxes; create necessary documents as required.
- Order and manage office supplies efficiently.
- Perform additional clerical tasks as required, including filing, photocopying, and collating documents.
- Address standard issues and challenges as they arise.
- 1-2 years of relevant experience.
- High school diploma or equivalent required.
- Proficiency in Microsoft Office Suite.
- Ability to comprehend and interpret various documents, including safety guidelines and operational instructions.
- Capable of drafting routine correspondence and reports.
- Effective communication skills, particularly in group settings.
- Ability to perform basic calculations and apply fundamental mathematical concepts.
- Skilled in problem-solving and managing diverse situations.
- Competent in following written, oral, or diagrammatic instructions.
- Adept at identifying and resolving issues promptly; able to analyze information and propose alternative solutions.
- Strong customer service skills, including managing difficult interactions and responding to feedback.
