What We Are Looking For:

A dedicated full-time Closing Coordinator for our Homeowners Association (HOA) closings division.

Your Responsibilities:

Prepare Estoppels and closing documentation for our expanding portfolio of HOA and condominium communities. Manage a substantial volume of new owner transactions, update owner information post-property sales, and promptly address inquiries from title agents.

Key Duties Include:

  • Deliver timely and efficient responses to requests, disputes, or complaints from homeowners, title companies, attorneys, lenders, and other vendors.
  • Respond to communications within 24 hours of receipt.
  • Ensure accurate and compliant processing of all estoppel requests and questionnaires.
  • Verify all outstanding fees, assessments, and contributions to the association.
  • Timely entry of new homeowner information into our management system.
  • Process payments received after closings.
  • Generate statements of account, coupon books, welcome letters, and new homeowner information sheets as required by each community.
  • Document each homeowner's account after every interaction for historical accuracy.
  • Maintain regular and consistent attendance as a crucial aspect of the role.

Qualifications:

  • At least 3 years of experience in customer service.
  • Previous experience in homeowner closings or with a title company is preferred.
  • A minimum of 2 years handling high-volume customer service communications.
  • Strong customer-centric approach with a focus on problem resolution.
  • Excellent written and verbal communication skills.
  • Proven ability to foster and maintain strong working relationships across various departments.
  • Ability to work independently with strong organizational capabilities.
  • Proficiency in Microsoft Outlook.
  • Familiarity with Microsoft Excel, Word, and Caliber software is advantageous.
  • Remote work is not an option.
