Job Title:

Facilities & Operations Specialist

Job Summary:

The Facilities & Operations Specialist is responsible for ensuring the smooth operation of all OEA owned and leased facilities, office administration, and identified human resources functions. This includes coordinating with key stakeholders, managing facilities and HR email inboxes, and maintaining electronic files and Teams folders.

Key Responsibilities:
  • Contributes to a diverse, equitable, and inclusive workplace by participating in activities, trainings, and workgroups.
  • Works collaboratively with stakeholders to support OEA's mission and goals.
  • Monitors and responds to facilities tickets, engages with the Director of HR/Facilities as needed, and collaborates with third-party contractors.
  • Reviews and approves supply ordering, manages supply inventory, and ensures timely completion and submission of insurance policies and census surveys.
  • Coordinates the OEA Safety Committee, schedules meetings, creates agendas, and tracks committee work.
  • Manages building key distribution, tracks facilities invoices, and prepares facilities and Safety Committee updates for Board Reports.
  • Answers calls, routes messages, and submits onboarding and offboarding IT tickets.
  • Coordinates new employee onboarding, tracks completed items, and prepares employee change forms.
  • Reconciles monthly benefit invoices, delivers results to the Director of HR/Facilities, and posts internal and external job openings.
  • Supports additional functions in the HRIS at the direction of the Director of HR/Facilities.
Requirements:
  • High school graduate or equivalent, including commercial courses or post-high school business curriculum.
  • Minimum of two years' experience with general office or administrative coordination.
  • Mid-level Microsoft Excel skills, including VLOOKUPs, pivot tables, and filtering and sorting large datasets.
  • Property and/or facilities management experience highly preferred.
  • Human resources experience preferred.
Work Environment:

This position is based at the OEA Headquarters office in Portland, OR. Flexibility in schedule is required, with occasional early morning, evening, and/or weekend work to support facilities-related maintenance and emergencies.
