Position Overview

We are seeking a dedicated Full-Time Administrative Coordinator / Medical Support Specialist with a minimum of 1 year of experience in a healthcare setting. The ideal candidate should be dependable, friendly, and proficient in computer usage. Multitasking abilities and excellent communication skills are essential. Bilingual proficiency in English and Spanish is advantageous.

The primary role will focus on administrative duties, with the flexibility to assist in medical support tasks as required. The operational hours are structured as follows: Monday, Tuesday, and Thursday from 9 AM to 7 PM; Wednesday from 9 AM to 5 PM; and Friday from 9 AM to 3 PM.

Qualifications:
  • High School Diploma or equivalent is required.
  • Certification as a Medical Assistant, along with phlebotomy and EKG certifications.
  • Basic computer skills are necessary.

The primary responsibility of this role is to ensure efficient patient scheduling, collection of copayments, management of messages, and generation of referrals. Additionally, the role may involve providing backup support as a Medical Assistant during peak times or staff absences.

Key Responsibilities:
  • Welcoming and assisting patients upon arrival.
  • Managing phone calls promptly and professionally.
  • Taking clear and accurate messages for physicians and medical staff.
  • Coordinating patient appointments in accordance with practice protocols.
  • Facilitating the patient check-in process to guarantee accurate information and payment collection.
  • Generating electronic referrals as needed.
  • Verifying patient insurance coverage.
  • Documenting daily copayment and coinsurance collections accurately.
  • Maintaining a clean and organized waiting area.
  • Training new personnel on office policies and procedures.
Additional Responsibilities:
  • Documenting patient medical histories and medication lists accurately.
  • Measuring and recording patient vitals into the electronic health record (EHR).
  • Ensuring compliance with practice goals for MACRA.
  • Scanning and uploading patient-related documents into the EHR.
  • Collecting specimens and performing phlebotomy, PT/INR, spirometry, and EKGs.
  • Obtaining prior authorizations for medical procedures and prescriptions.
  • Communicating effectively with physicians and patients regarding messages and lab results.
  • Returning patient messages as directed by physicians.
  • Monitoring medical supplies inventory and notifying management of shortages.
  • Performing other duties as assigned.
