Position Overview

We are seeking a dedicated Full-Time Administrative Coordinator / Medical Support Specialist with a minimum of 1 year of experience in a healthcare setting. The ideal candidate should be dependable, friendly, and proficient with computers. Multitasking abilities and excellent communication skills are essential. Bilingual proficiency in English and Spanish is advantageous.

The primary role will focus on administrative duties at the front desk, with the potential to assist in medical support tasks as required. The working hours are structured as follows: Monday, Tuesday, and Thursday from 9 AM to 7 PM, Wednesday from 9 AM to 5 PM, and Friday from 9 AM to 3 PM.

Qualifications:
  • High School Diploma or equivalent.
  • Certification as a Medical Assistant, along with phlebotomy and EKG certifications.
  • Basic computer proficiency is required.

The primary responsibility of this role is to ensure that patients are scheduled efficiently, copayments are collected, messages are accurately recorded, and referrals are processed. Additionally, this position may serve as a backup Medical Assistant during peak times or for staff coverage.

Key Responsibilities:
  • Welcoming and assisting patients as they arrive.
  • Responding to phone inquiries promptly.
  • Taking precise messages for physicians and medical staff.
  • Coordinating patient appointments in accordance with practice protocols.
  • Facilitating the patient check-in process to guarantee accurate information and payment collection.
  • Generating electronic referrals as needed.
  • Verifying patient insurance coverage.
  • Ensuring daily collections of copayments and coinsurance are accurately recorded and reconciled.
  • Maintaining a clean and organized waiting area.
  • Training new employees on office policies and procedures.
Additional Responsibilities:
  • Documenting patient medical histories and current medications accurately.
  • Measuring patient vitals and entering data into the Electronic Health Record (EHR).
  • Ensuring compliance with practice goals for MACRA through proper documentation.
  • Scanning and uploading patient-related documents into the EHR.
  • Collecting specimens and performing phlebotomy, PT/INR, spirometry, and EKGs.
  • Obtaining prior authorizations for necessary procedures and medications.
  • Communicating effectively with physicians and patients regarding messages and lab results.
  • Returning patient messages in accordance with physician directives.
  • Monitoring medical supply inventory and notifying management of shortages.
  • Performing other duties as assigned.
