Position Overview:
The Guest Services Coordinator plays a crucial role in supporting the Front Desk Manager and/or General Manager by delivering attentive, courteous, and efficient service to all guests before their arrival and throughout their stay. This position is also responsible for optimizing room revenue and occupancy rates.
Qualifications:
- Minimum of 2 to 3 years of progressive experience in hospitality or a related sector is required. A high school diploma or equivalent is necessary.
- Relevant college coursework is advantageous.
- Previous experience in a supervisory role is preferred.
- A valid driver's license for the applicable state is required.
- Strong communication skills to convey information and ideas effectively.
- Ability to assess and choose among various courses of action swiftly and accurately.
- Capable of performing well in high-pressure situations, including resolving guest objections and disputes satisfactorily.
- Proactive in job performance, anticipating needs before they arise.
- Maintains composure and objectivity under stress.
- Effective problem-solving skills, including the ability to identify, prevent, and address issues as necessary.
- Ability to assimilate complex information from various sources and adapt it to meet specific needs.
- Skilled in listening, understanding, and clarifying concerns raised by guests and colleagues.
- Proficient in working with financial data and basic arithmetic functions.
Key Responsibilities:
- Engage with guests and team members in a friendly, service-oriented manner.
- Maintain regular attendance in accordance with company standards, adapting to the hotel's scheduling needs.
- Uphold high standards of personal appearance and grooming, including wearing the designated uniform and name tag.
- Adhere to company standards and regulations to promote safe and efficient hotel operations.
- Foster a warm and welcoming atmosphere at all times.
- Set the benchmark for guest relations at the front desk.
- Gather all necessary information when processing room reservations.
- Monitor V.I.P. and special guest requests diligently.
- Review daily Front Office logs and Trace Files.
- Comprehend and execute all relevant aspects of the front desk computer system.
- Ensure timely and professional logging and delivery of messages, packages, and mail.
- Stay informed about current rates, packages, and promotions.
- Be knowledgeable about all in-house groups and any closed-out or restricted dates.
- Enforce all hotel credit policies effectively.
- Perform all duties of a Front Desk Agent as needed.
- Complete and verify all necessary reports accurately.
- Oversee the operation of the P.B.X. console, ensuring compliance with company standards.
- Encourage good communication and teamwork among associates and other departments.
- Assist management in ensuring compliance with company standards.
- Be familiar with and assist in emergency procedures as required.
- Ensure all guests are checked in and out efficiently and courteously.
- Complete all tasks on the shift checklist in a timely manner.

- Respond to all guest inquiries in a professional and timely manner.
- Participate in departmental meetings and contribute to planning and execution.
- Help maintain productivity levels that meet or exceed budgeted standards.
- Perform any additional duties as assigned by management.
- Assist in the training of new hires and current associates regularly.
- Attend meetings as required by management.
