Healthcare Administrative Assistant

POSITION SUMMARY
Under the guidance of the Medical Manager, the Medical Receptionist plays a crucial role in facilitating the efficient daily operations of the medical schedule. The incumbent will handle essential tasks such as scheduling patient appointments, managing multiple phone lines, and entering patient information into a computerized system, including verifying insurance details. Additional clerical duties may be assigned as necessary. In the absence of a Patient Coordinator, the Medical Receptionist will operate under the direct supervision of the Medical Manager.
KEY RESPONSIBILITIES
- Schedule routine appointments for patients.
- Manage incoming calls and direct them to the appropriate personnel or department.
- Input patient registration details into the computer system.
- Verify and update patient registration and insurance information.
- Check patient insurance eligibility.
- Assist with the entry of additional information into the RPMS System as required.
- Ensure eligibility for each visit on a daily basis and process information accordingly.
- Handle patient self-pay applications.
ADDITIONAL DUTIES
- Perform other assigned tasks as needed.
MINIMUM REQUIREMENTS
- High School Diploma or GED equivalent.
- At least 1 year of experience in an office setting, preferably in medical office procedures and patient records.
- Proficiency in word processing, spreadsheets, and database management.
- Experience in managing multiple phone lines.
- Ability to collaborate effectively as part of a team.
- Attention to detail is essential.
- Familiarity with basic concepts in the medical field and understanding of related technical functions.
- Effective communication skills, both verbal and written, with peers, patients, and management.
- Possession of a valid CDL and insurability under the Tribe's auto insurance policy.
- Hepatitis B Vaccine or declination form must be on file (vaccine available at designated health centers).
- Post-offer requirements include CPR/BLS certification, TB test, and annual flu shot during flu season, unless a medical or religious accommodation is requested.
PREFERRED QUALIFICATIONS
- Bilingual candidates, particularly Spanish/English, are strongly preferred.

Maintaining confidentiality is a critical requirement for this position, with violations leading to immediate termination.
NATIVE PREFERENCE
Preference in hiring will be given to the most qualified applicants. However, if candidates are equally qualified, preference will be given to Native American candidates, following a specific order of preference as outlined in hiring policies.
