Client Relations Specialist

The Client Relations Specialist plays a crucial role in supporting Account Managers and Benefits Consultants in managing employee benefits accounts. This position is ideal for a meticulous and organized individual. The Client Relations Specialist delivers exceptional customer service and fosters professional relationships with client contacts while providing clerical and administrative assistance to the Benefits team as required. Adherence to the ethical standards set forth by the Colorado Department of Insurance and the Professional Independent Insurance Agents of Colorado (PIIAC) is essential.
Key Responsibilities
Below is a summary of essential duties for the Client Relations Specialist role, although additional responsibilities may be assigned:
- Deliver customer service to both internal and external clients, addressing inquiries and providing eligibility information.
- Assist in resolving minor to moderate client issues under the guidance of the Account Manager, including inquiries related to eligibility, claims, and billing.
- Request identification cards and process address modifications with carriers on behalf of employer groups as needed.
- Support with Applications and Terminations as assigned. Process employee enrollments, modifications, and terminations on behalf of employer groups promptly. Gather necessary forms and information from employers or Account Managers, following up on any missing information to ensure compliance with carrier protocols. Confirm that hire or termination dates align with specific plan eligibility requirements before submitting applications. Ensure completed forms are sent to carriers before the effective date and provide email confirmations to employers, following up with carriers via phone to verify receipt and processing of applications. Store all enrollment information electronically in the Brokerage Builder system.
- Maintain timely updates to the Brokerage Builder system for all policy changes or updates within three business days of renewal or new business decisions.
- During new group submissions or renewals, compile open enrollment materials, applications, and policy information, scanning copies into the Brokerage Builder. Provide administrative support as needed in printing, organizing, and preparing open enrollment materials.
- Generate rate confirmations and termination letters for clients under the supervision of the Account Manager.
Qualifications and Skills
To be considered for this position, candidates should possess the following qualifications:
- Proficient in reading and writing in English.
- High School diploma or equivalent.
- Must currently hold (or be able to obtain within 90 days of hire) a Colorado Life, Accident, and Health License.
- Proficient computer skills, including a working knowledge of Microsoft Office products, particularly Word and Excel. Previous experience with Brokerage Builder is preferred but not mandatory.
- Excellent written and verbal communication abilities.
- Strong customer service and teamwork skills; must effectively interact with clients, colleagues, and management.
- Exceptional attention to detail and solid organizational capabilities.
- Strong prioritization skills, a sense of urgency, and the ability to work efficiently under time constraints.
- Ability to analyze and resolve issues.
Compensation is $21.25 per hour, based on experience and licensing.
