Job Overview

The Office Coordinator provides critical administrative support to ensure the smooth operation of a distribution center or business office. This role is responsible for maintaining efficient communication between various stakeholders, including public callers, vendors, employees, and candidates seeking employment.

Key Responsibilities
  • Coordinates pre-employment physical testing and processes pre-employment background checks and drug screens.
  • Creates new ID badges and sets up access to the building, logging information into the facility security system.
  • Coordinates with other administrative staff to schedule ID badge pictures.
  • Ensures completion of hiring-related documentation, assisting teammates with completion of new hire documentation and related system entries.
  • Provides a positive onboarding experience for new teammates, introducing them to benefits and company services.
  • Offers teammate services, including work and time off scheduling, management of the timekeeping system, facility and badge access, and issue resolution.
  • Serves as a liaison to department leaders on employee relations issues.
  • Verifies and completes weekly payroll, submits variable compensation requests, and researches pay-related matters.
  • Facilitates teammate master data changes to ensure accurate information and proper payment.
  • Procures location supplies, including office, janitorial, and work-related equipment.
  • Codes and submits invoices for payment.
  • Coordinates meetings and events for internal and external groups.
  • Facilitates facility or system repair requests.
  • Maintains the site security system, ensuring badge access and related security equipment are operational.
  • Researches and provides analysis on P/L queries, financial variances, and invoice payments.
  • Maintains OSHA and safety-related documentation and logs.
  • Ensures teammates are set up in the company's E-learning management solutions and maintains compliance documentation.
  • Provides administrative support to location safety committees and ensures follow-up on tasks related to accidents.
  • Facilitates location Transitional Return to Work assignments and related requirements.
  • Serves as a liaison with Corporate Risk Management Team and TPA.
  • Performs general administrative duties, including mailing/shipping of materials and creating/publishing employee communications.
  • Provides technical support for company equipment and assists with IT needs.
  • Handles incoming calls to the switchboard, greets visitors, and performs public, vendor, and teammate contact duties.
  • Maintains records, verifies accuracy, and generates miscellaneous reports.
Requirements
  • Working knowledge of Microsoft Office Productivity tools.
  • Prior experience in customer service or a work environment performing administrative, clerical, and receptionist duties.
  • Ability to handle sensitive information in a confidential manner.
