Position Overview

The Department of Housing and Community Development (DHCD) is seeking a dedicated and efficient professional to fill the role of Administrative Assistant II/Customer Service Representative. This position is vital in addressing the quality of life for residents by connecting them with essential services. The role requires regular attendance at the designated office location, with potential for limited remote work options.

Key Responsibilities

  1. Serve as the primary point of contact for the public at our customer service center, ensuring a welcoming and informative environment.
  2. Provide exceptional customer service through various channels, including in-person interactions, phone calls, and email correspondence.
  3. Assist customers with inquiries regarding departmental programs and services, demonstrating a strong understanding of available resources.
  4. Offer administrative support to department staff, including document preparation, record maintenance, and data entry.
  5. Manage incoming communications, including mail and packages, ensuring timely distribution and secure handling of sensitive materials.
  6. Oversee the operation of office equipment, coordinating maintenance and repairs as necessary.
  7. Organize and maintain the conference room, including scheduling meetings and ensuring the space is well-equipped and presentable.
  8. Facilitate the procurement of office supplies and equipment, adhering to established procurement policies.
  9. Perform additional duties as assigned to support departmental objectives.

Required Skills and Qualifications

Candidates should possess the following skills and qualifications:

  • Strong interpersonal skills, with the ability to handle customer relations with professionalism and courtesy.
  • Proficiency in standard office software, including Microsoft Office Suite.
  • Ability to communicate effectively, both verbally and in writing.
  • Capability to work independently and manage multiple tasks efficiently.
  • Knowledge of office procedures and customer service best practices.

Minimum Qualifications

A high school diploma or equivalent is required, along with two years of relevant administrative experience. Bilingual skills are preferred but not mandatory. Candidates must also be eligible to obtain a Virginia State Notary Public Certificate within the first month of employment.
