About the Role

The Department of Housing and Community Development (DHCD) is seeking a highly organized and customer-focused administrative professional to serve as the Administrative Assistant II/Customer Service Representative. This role is the first point of contact for the public at our customer service center, providing exceptional service and support to customers in person and via phone.

Key Responsibilities

  • Provide customer service via phone, in-person, and via email, responding to requests for information and assistance
  • Greet visitors and provide administrative support to DHCD staff, as assigned by the supervisor
  • Prepare and proofread documents, including reports and correspondence
  • Accept and record packages and applications submitted for processing
  • Receive and distribute all incoming mail, faxes, and documents, including payments by check
  • Securely store checks and serve as the point of contact for check pick-up
  • Monitor and maintain office equipment, including copiers, scanners, printers, and fax machines
  • May maintain usage of motor pool vehicles and keep calendar/log of usage up to date
  • May enter, update, and retrieve information from databases, files, and systems relevant to DHCD
  • Manage booking and operations of the conference room, including maintaining appearance, supplies, and equipment
  • Assist with ordering and purchasing activities, including office supplies and equipment
  • May code credit card payments in the PCard system in accordance with County Procurement policies and procedures

Requirements

  • High School diploma or equivalent; two (2) years of related clerical/administrative work experience; or equivalent combination of education and experience
  • Bilingual (English/Spanish or other in-demand language) ability is preferred but not required
  • Hold a Virginia State Notary Public Certificate or be eligible to obtain one within the first 30 days of hire
