Medical Records Coordinator

The Medical Records Coordinator is responsible for maintaining the confidentiality, integrity, and availability of patients' protected health information (PHI). This includes receiving and processing medical records, reviewing them for compliance with approved policies, and working independently or as part of a medical records department. The role also involves processing requests and subpoenas for medical records in a timely manner.
Essential Job Duties:
- Understand and comply with HIPAA regulations.
- Determine who can access a patient's medical records.
- Process electronic faxes and scan completed medical releases into the electronic medical record (EMR) system.
- Answer multiple phone lines and respond to patient inquiries.
- Process medical records requests from patients, outside providers, and legal entities in accordance with established protocols.
- Follow up with outside doctors' offices and medical records companies to ensure timely processing of requests.
- Work cooperatively with other staff members, including patients, providers, support staff, and administration.
- Comply with all company policies and procedures found in the employee handbook.
Required Education and Experience:
- High School Diploma or equivalent (GED).
- Successful completion of a medical front office program or on-the-job training with an emphasis on customer service.
- Knowledge of medical terminology and EMR systems is a plus.
Minimum Knowledge and Skills Required:
- Bilingual Spanish is preferred.
- Ability to work with clinical staff and handle direction from multiple providers.
- Professional communication skills and a commitment to preventative health care.
- Ability to navigate and accurately input within the EMR system.
- Politeness, confidence, tact, patience, and diplomacy when dealing with complex and confidential situations.
