Job Description

The Administrative Coordinator at The Little School plays a vital role in ensuring the successful operations and coordination of the front desk, school-related functions, and development. This position requires a highly organized and detail-oriented individual who can effectively manage multiple tasks and responsibilities.

Key Responsibilities
  • Marketing & Communications:
    • Creating, updating, and maintaining effective and timely communication processes
    • Drafting and sending various communications to families, including exposure notices, questionnaires, and information-sharing
    • Drafting and sending various communications to staff, including announcements, reminders, and personnel file follow-ups
  • Events:
    • Overseeing the composing and sending event communication with staff and families, including reminders, RSVPs, and childcare requests
    • Overseeing event set-up and take-down
    • Creating an academic calendar (in partnership with staff) and updating the calendar when shared spaces are reserved
    • Support various committees' events (such as the Diversity Committee)
    • Support the Board of Trustees monthly meetings
  • Organization of Files and Systems:
    • Maintain and organize all electronic and/or hard copy of documents and records
    • Organize all long-term storage and archived files
    • Maintain staff and children files
    • Enter information into school databases and systems, like DEC Enrollment Tracking System and Discounted Tuition
  • Development:
    • Oversee donation platform, including setting up donation sites for major fundraising campaigns, payments processing and receipts
    • Track incoming pledges on a daily basis
    • Generate lists of potential donors from the database of alumni and grandparents
    • Facilitate the construction of Master Gifting Spreadsheet, including identification of new versus returning families, board members, and others
Requirements
  • At least five (5) years of experience in an administrative role
  • Ability to exercise professional judgment in problem-solving, using discretion, and maintaining confidentiality
  • Excellent customer service, written, and verbal communication skills
  • Proficient in Google Suite, Excel, and Word
  • Organized and able to work independently, prioritize efficiently, effectively manage interruptions and time, and work under pressure
  • Strong technological skills and comfort with learning new technologies and systems
  • Experience in a school setting is preferred
  • Experience with Ravenna or other school-based software is preferred
Benefits

The compensation range for this position begins at $75K per year and is dependent upon experience. Benefits include Medical, Dental, Vision, retirement, paid time off (including 5 weeks of paid school closures), professional development opportunities, and child enrollment at the school (subject to application deadlines) are also offered.
