The Commercial Loan Support Specialist role is essential in aiding Relationship Managers, Portfolio Officers, and Managers with the comprehensive administrative tasks associated with managing and nurturing a portfolio of commercial loans and accounts. This position plays a pivotal role in enhancing the customer experience by addressing their needs within the portfolio, including services, deposits, and loans.

Key Responsibilities:

  • Collaborate closely with Relationship Managers and Portfolio Officers to facilitate loan processing and handle general service requests, which include: a) Addressing customer inquiries and service requests related to accounts and loans; b) Preparing account maintenance documentation; c) Processing loan payments and debit instructions; d) Receiving and forwarding loan documents to support teams for processing pay-offs, estoppel requests, and mortgage satisfactions; e) Collecting fees for third-party services; f) Informing customers about renewal statuses and providing a list of required financial documentation; g) Compiling reports and monitoring overdrafts.
  • Assist in the customer onboarding process, which encompasses ongoing servicing tasks such as: a) Ensuring auto debit arrangements are established; b) Confirming real estate tax and insurance escrow setups (if applicable); c) Coordinating with the Treasury Management Department to implement the bank's treasury products (e.g., Online Banking, Remote Deposit Capture) for customers. This may involve providing overall support during loan closings and interacting with customers as needed.
  • Collect and review relevant loan and credit documentation before and after closing, preparing all necessary forms, conducting legal searches online, updating credit files, and creating corresponding checklists.
  • Oversee the opening and maintenance of depository accounts, ensuring proper processing and collection of related forms and documents.
  • Perform standard administrative tasks and manage both internal and external communications, including timely responses to phone calls and emails. This may involve preparing FedEx mailings, obtaining necessary signatures, and coordinating schedules for Relationship Managers, Portfolio Officers, and other managerial functions to ensure smooth operational workflows.
  • Upload and manage tracking exceptions such as site visit reports, annual reviews, and financial reports to uphold asset quality.
  • Monitor and address overdrafts and past-due reports, which may involve contacting customers.
  • Confirm wire transfers with customers in response to fraud alert notifications, when applicable.
  • Prepare minimum balance covenant certificates.
  • Compile the BSA/compliance package for internal review, which includes organizing, collecting, and reviewing all formation documents, such as operating agreements, partnership agreements, good standing certificates, articles of incorporation/organization, and trust documents related to each entity in the customer’s organizational chart. This involves assisting Relationship Managers and Portfolio Officers with BSA issue investigations.
  • Develop a detailed Organization Chart, either provided or created, extending to individual persons, along with preparing Adverse Media and Lexis Nexis reports.
  • Review post-closing loan documentation collection and verification to maintain adequate quality controls.
  • Process vendor invoices and obtain necessary approvals for submission to accounts payable, following up to ensure timely payments to vendors.
Minimum Education and/or Certifications Requirements: A Bachelor's Degree is required or in progress. Formal credit training is advantageous.
Minimum Work Experience Requirements: A minimum of 3 years of experience in Lending/Banking or as an Administrative Assistant, with strong expertise in account opening involving complex structures, operations, and BSA compliance.
Technical and/or Other Essential Knowledge: Familiarity with banking regulations, loan documentation including mortgages, basic financial statement analysis, and proficiency in Microsoft Office 365 applications, including MS Word, MS Visio, MS Excel, MS Teams, and MS PowerPoint.
