Healogics stands as the foremost provider of advanced wound care services in the United States, addressing the needs of over 300,000 chronic wound patients each year across more than 600 locations. With an aging population, rising obesity and diabetes rates, and an increase in surgical interventions, the demand for specialized care for non-healing wounds is significantly growing. Consequently, our organization is focused on extending our distinguished, quality outcomes to as many patients as possible through our outpatient clinic collaborations.

The Patient Coordinator is responsible for overseeing various front office operations and plays a crucial role in ensuring the efficient functioning of a bustling outpatient wound care center. Additionally, this position involves performing general administrative tasks to support the WCC staff.

All Healogics personnel are expected to execute their duties in accordance with all Healogics policies, hospital regulations, as well as guidelines from accrediting bodies, federal and state laws, and the Centers for Medicare and Medicaid Services (CMS), as applicable.

Key Responsibilities

  • Collaborates with center leadership to optimize daily patient attendance.
  • Actively engages in staff meetings to enhance essential functions within the center.
  • Welcomes patients and visitors, and manages incoming calls by directing them to the appropriate personnel.
  • Handles all patient communication needs, including scheduling, rescheduling, and appointment reminders, while coordinating provider schedules in line with the care continuum model.
  • Collects and verifies patient insurance details, including pre-certifications and pre-authorizations for services, and inputs data into relevant databases.
  • Records and processes patient charges in databases.
  • Ensures accuracy and reconciliation of charges as directed, compiles monthly patient survey data and necessary documentation, and forwards it to providers.
  • Organizes new patient records, maintains and files existing patient charts, and performs spot checks for data accuracy and required signatures.
  • Coordinates and schedules ancillary testing with other hospital departments.
  • Arranges patient transportation as required.
  • Maintains office and medical supplies as necessary.
  • Performs additional duties as needed.

Required Qualifications

  • High School Diploma or General Education Development (GED); Associate's degree preferred.
  • A minimum of two (2) years of administrative experience, preferably in a healthcare environment; prior medical coding experience is a plus.

  • Excellent organizational and time-management abilities.
  • Typing speed of 60 words per minute (wpm).
  • Basic mathematical skills.
  • Attention to detail.
  • Ability to maintain confidentiality.
  • Capability to thrive in a fast-paced environment and manage multiple projects simultaneously.
  • Ability to collaborate effectively within a team setting.

Physical Requirements

  • Ability to remain in a stationary position for extended periods (4 hours or more).
  • Prolonged viewing of computer screens (4 hours or more).
  • Frequent typing on a computer for 4 hours or more.
  • Reading and communicating effectively.
  • Ability to detect sounds by ear.
  • Close, distance, and peripheral vision capabilities.
  • Ability to lift/move items up to 75 pounds with equipment assistance.
  • Repetitive motions and bending/stooping.
  • Writing skills.

Work Environment

  • Patient care setting.

The hourly compensation for this role typically ranges around $23.39 per hour.

This range is an estimate based on potential employee qualifications, including education, experience, geographic location, and operational needs, as well as other factors permitted by law.
