OVERVIEW:

The Healthcare Front Office Coordinator plays a vital role in managing essential administrative tasks, including answering phone calls, welcoming patients and visitors, and scheduling appointments efficiently. This position is crucial for facilitating the patient intake and checkout processes, which encompass patient registration, check-in and check-out procedures, collection of co-payments, deductibles, and other outstanding balances, as well as maintaining organized medical records. The Front Office Coordinator must adhere to established protocols, ensuring that all procedures, from retrieving patient files to documenting insurance details, are meticulously followed, allowing the medical team to focus on patient care. This role also involves seamless interaction with back-office staff and providing assistance in that area when necessary.

ACCOUNTABILITIES/NATURE AND SCOPE:

The Healthcare Front Office Coordinator will be accountable for the following responsibilities (but are not limited to): 1. Welcoming and greeting all patients and visitors, whether in person or via phone. 2.

Handling phone inquiries while maintaining a courteous and professional demeanor, adhering to proper telephone etiquette:
a.

Practicing active listening, focusing on the speaker and the topic at hand, minimizing interruptions, and being mindful of non-verbal cues.

Exhibiting good phone manners by answering promptly (ideally by the third ring), speaking clearly and at a moderate pace, and seeking permission before placing a caller on hold.

Ensuring confidentiality by being cautious about the information shared over the phone, recognizing that others may overhear the conversation.


Additional considerations:

Always express gratitude to the caller for their call. Never terminate the call first. When taking messages, ensure they are detailed and comprehensive. Maintain composure and politeness, even in challenging interactions with patients or visitors.

3. Responsible for maintaining a clean and organized reception area. 4. Registering new patients and updating existing patient information by collecting comprehensive personal and financial details (e.g., co-payments and insurance cards). 5. Collecting outstanding patient balances. 6. Scanning incoming documents. 7. Generating daily batch transmittal reports. 8.

Facilitating patient flow by notifying medical staff of patient arrivals, being aware of delays, and communicating effectively with both patients and clinical personnel.

9. Responding to inquiries from patients, prospective patients, and visitors in a courteous manner. 10. Keeping medical office supplies adequately stocked by anticipating needs, placing orders, and monitoring office equipment. 11.

Protecting patient confidentiality by ensuring that protected health information (PHI) is secured and not left visible, and logging off computers when unattended.

12. Ensuring a proper handoff of responsibilities upon task completion. 13. Meeting established attendance criteria and starting work punctually. 14. Respecting and acknowledging the organization's commitment to cultural diversity through behavior, language, and actions. 15. Consistently demonstrating effective use of time and resources. 16. Adhering to HR and corporate policies and procedures. 17. Ensuring that all medical records are accurate and complete for all patients. 18. Complying with healthcare regulations, medical laws, and maintaining high ethical standards. 19.

Regularly supporting compliance and accreditation efforts as assigned, including but not limited to OSHA, HIPAA, and CMS guidelines.

EDUCATION & CERTIFICATION:

A minimum of a High School Diploma or General Education (GED) is required. Graduation from a vocational or technical school is preferred. Proficiency must be achieved through on-the-job training and orientation. Certification in Front Office Administration is preferred.

QUALIFICATIONS, SKILLS AND ABILITIES:

The Front Office Coordinator should possess a minimum of 1-3 years of experience in a medical office environment, preferably within the urology specialty. Strong customer service skills are essential. Excellent verbal and written communication abilities are required. Proficient interpersonal skills are necessary. Candidates must have strong computer skills to manage clerical tasks, including familiarity with office and EMR systems. Basic knowledge of health insurance products (HMO, PPO, HSA, Commercial, Medicare, etc.) is advantageous. Familiarity with CPT procedure coding and ICD-10 diagnostic coding is a plus.

COMPUTER SKILLS:

To succeed in this role, an individual should be knowledgeable in: Internet Software; Word Processing Software (Microsoft Word); Electronic Mail Software (Microsoft Outlook); Electronic Health Records (EMR Software); Practice Management Software (AllScripts).
