Position Summary:

The Community Engagement Coordinator / Financial Transactions Specialist is responsible for a diverse range of tasks focused on partnership development, outreach initiatives, employee relations, and volunteer retention. This role also encompasses financial responsibilities, including the management of revenue postings, journal entries, and ensuring transaction accuracy. The Coordinator will collaborate closely with Program Managers to support advertising efforts and perform various accounting functions as directed by the Chief Financial Officer.


Key Responsibilities:


Community Engagement Duties:

  • Facilitate the recruitment process for staff and volunteers across all programs.
  • Build and sustain partnerships with community resources.
  • Represent the organization at health fairs, workshops, and other outreach events.
  • Manage and update social media platforms on a daily basis.
  • Keep an organized calendar of outreach activities, workshops, and training sessions.
  • Plan and execute special events, including fundraising and staff appreciation initiatives.
  • Document outreach activities and maintain accurate records for reporting purposes.
  • Produce a monthly newsletter for the organization.
  • Act as a liaison between community programs and staff development efforts.
  • Assist in the review and update of recruitment materials and organizational brochures.
  • Order promotional materials for the agency.
  • Support administrative tasks related to reports and audits.
  • Coordinate recognition programs for employees and volunteers.
  • Attend board meetings and prepare reports for each session.
  • Respond to staff inquiries or direct them to the appropriate personnel.
  • Record personal work hours in the timekeeping system.
  • Participate in required training and workshops.

Financial Transactions Duties:

  • Process entries for funds received via checks, cash, and electronic transfers.
  • Review and adjust general ledger accounts as necessary.
  • Input revenue data and generate reports for the Nutrition Coordinator.
  • Assist in budget entry and the creation of financial reports.
  • Support the CFO with ongoing account reconciliations.
  • Prepare and submit files for Accounts Payable to the bank.
  • Monitor the main bank account for deposits and discrepancies.
  • Assist with regular programmatic financial needs.
  • Generate recurring financial reports for Program Directors.
  • Support funding agency monitoring processes.
  • Prepare for the annual audit.
  • Record daily cash receipts and reconcile accounts monthly.
  • Complete monthly billing tasks.
  • Manage annual transfers for local bank accounts.
  • Continue professional development through education and training.
  • Perform additional tasks as required.

Qualifications:


Education/Experience: A minimum of a high school diploma or GED is required. At least one year of experience in general office tasks or familiarity with HCCAA programs is preferred.

Skills and Abilities: Strong teamwork capabilities, effective communication skills, and the ability to work respectfully with diverse populations. Flexibility, interpersonal skills, and proficiency in record-keeping are essential. Willingness to learn new software as needed.


Other Requirements: Professional demeanor and attire are expected. A valid driver's license and reliable transportation are necessary. Confidentiality must be maintained in all agency operations.


Supervisory Responsibilities: None


Equipment Used: Computer, fax machine, calculator, copier, and telephone.


Physical Demands: The role requires prolonged sitting, standing, bending, reaching, and lifting up to 40 pounds. Manual dexterity for operating office equipment is necessary.


Mental Demands: The position involves daily problem-solving and conflict resolution. Strong listening skills and the ability to interact with all levels of staff are important.


Working Conditions: Standard working hours with occasional travel as needed. All agency-related information is confidential.
