Job Title: Community Outreach Coordinator

Reports To: Chief Executive Officer

Position Summary:

Under the guidance of the Chief Executive Officer, the Community Outreach Coordinator will undertake a range of responsibilities related to collaboration, outreach initiatives, employee relations, and volunteer retention.

The Coordinator will collaborate closely with Program Managers concerning the promotion and recruitment of personnel for HCCAA.

Essential Job Functions:
  • Facilitate and engage in the recruitment of staff and volunteers for all programs.
  • Establish and nurture partnerships and relationships with available resources.
  • Participate in health fairs, workshops, conferences, and other outreach opportunities.
  • Develop, implement, and manage social media platforms on a daily basis.
  • Plan, oversee, and enhance the organization’s website regularly.
  • Maintain a calendar of outreach activities, workshops, training sessions, and other communication opportunities.
  • Organize special events, including fundraising, staff appreciation, and other initiatives.
  • Ensure accurate and timely documentation of activities and community outreach data for reporting and auditing purposes.
  • Create a quarterly newsletter for HCCAA.
  • Act as a liaison between community programs and staff development/retention.
  • Assist Program Directors with the review and updates of annual materials, including recruitment brochures and orientation documents.
  • Travel to all counties served by HCCAA as needed.
  • Provide updates on staff changes to relevant councils and managers.
  • Assist with annual budget preparations.
  • Create promotional materials for events across all counties.
  • Order agency promotional items and assist with administrative reports and audits.
  • Coordinate recognition programs for employees and volunteers.
  • Attend Board Meetings and prepare reports for each meeting.
  • Manage storage of files according to agency policy.
  • Respond to staff inquiries or direct questions to the appropriate team member.
  • Record personal time worked in the Automated Time Keeping system.
  • Participate in workshops and training as required.
  • Perform additional tasks as needed.

Job Requirements:
Education/Experience:
Minimum: High School diploma or GED. A minimum of one year’s experience in general office duties or experience in HCCAA Programs is preferred but not required.

  • Ability to work collaboratively as part of a team.
  • Effective communication skills, maintaining professionalism at all times.
  • Respectful and effective interaction with individuals from diverse backgrounds.
  • Flexibility and strong interpersonal skills.
  • Capability to maintain records and comprehend written or verbal instructions.
  • Willingness to learn new software as necessary.

Other:
Professional demeanor and attire are required. A valid Texas driver’s license and reliable vehicle with current liability insurance are necessary. Must maintain confidentiality in all agency operations.

Supervisory Responsibilities: None

Equipment to be Used: Computer, fax machine, calculator, copier, and telephone.

Typical Physical Demands:

Requires prolonged sitting, standing, bending, reaching, and lifting up to 40 pounds, along with some driving. Manual dexterity is necessary to operate standard office machines.


Typical Mental Demands:

Must handle diverse work challenges daily. Personal maturity is essential. Ability to resolve conflicts and make effective decisions under pressure is required.


Working Conditions:

Generally, work is conducted during standard business hours, with occasional out-of-town travel as required. All agency-related information is confidential.
