Position Overview

The Senior Facilities Administrative Specialist role is crucial in ensuring the operational excellence of facilities management. This position is designed for individuals who demonstrate a commitment to quality and compliance in all activities related to facilities equipment and instruments.

Key Responsibilities

  • Oversee the implementation of Building Management System (BMS) projects and manage computerized maintenance management systems.
  • Coordinate day-to-day activities while fostering strong partnerships with technical teams, including Project Managers and Engineers.
  • Serve as a point of contact for troubleshooting project-related issues and support during audits.
  • Plan and schedule modifications to facilities, providing estimates for equipment, labor, and materials.
  • Manage relationships with service providers to ensure high-quality service delivery.
  • Review pest control and cleaning records to ensure compliance with established procedures.
  • Participate as a Subject Matter Expert (SME) during internal and external audits.
  • Develop validation plans and protocols for facilities equipment and utilities.
  • Generate and execute necessary documentation for equipment qualification.
  • Utilize metrics to gather quantitative data for project assessments.
  • Address non-conformance issues related to facility tooling and equipment.
  • Contribute to continuous improvement initiatives within maintenance processes.

Qualifications

To be considered for this role, candidates should possess:

  • A Bachelor's degree.
  • A minimum of 7 years of relevant experience in Facilities, Quality, or a Regulated Industry, or an advanced degree with 5 years of experience.

Preferred Qualifications

Ideal candidates will have:

  • A degree in Mechanical, Electrical, or Chemical Engineering.
  • 5+ years of experience in the Medical Device or Pharmaceutical sectors.
  • Familiarity with Facilities Maintenance principles and the ability to interpret electrical and mechanical drawings.
  • Planning skills relevant to verification and validation activities.
  • Knowledge of ISO Class Cleanroom Environments and cGMP principles.
  • Strong communication skills, both written and verbal.
  • Understanding of EH&S fundamentals and OSHA requirements.

Physical Requirements

The physical demands of this role include regular mobility and the ability to interact with a computer and communicate effectively with colleagues.
