Position: ApprenticeshipNH Program Assistant (Department/Program Assistant II)

ROLE SUMMARY: This position involves a variety of clerical and programmatic support tasks, including the management of filing systems, assistance with event organization, outreach coordination, and procurement of program materials for the Apprenticeship initiative. The role reports directly to the Apprenticeship Program Manager.

KEY RESPONSIBILITIES:

  • Addressing inquiries via phone and email, directing individuals to the appropriate ApprenticeshipNH team member.
  • Providing information to interested business partners, prospective applicants, and community organizations regarding the Registered Apprenticeship Program, including eligibility, accessibility, and benefits.
  • Utilizing computer applications for tasks such as database management and Microsoft Office suite.
  • Assisting in the planning and coordination of outreach events, sector-specific meetings, and participation in job fairs and information sessions.
  • Scheduling regular meetings with stakeholders and team members.
  • Maintaining daily schedules and administrative support requirements.
  • Drafting, typing, distributing, and preserving meeting notes.
  • Supporting the organization and coordination of ApprenticeshipNH events.
  • Reviewing documents prepared by others for spelling and grammar accuracy, ensuring adherence to company formatting policies, and suggesting revisions as necessary.
  • Adhering to all college, system, state, and federal regulations.
  • Performing additional duties as assigned.

ESSENTIAL QUALIFICATIONS:

Education: High school diploma or equivalent credential. Additional years of formal education may substitute for required work experience.

Experience: A minimum of four years in a secretarial or office support role.

Preferred Qualifications: Experience in providing promotional and outreach support for career development and training initiatives. Familiarity with apprenticeship programs. Experience in event planning. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Access, and Outlook).

License/Certification: Valid driver's license or access to transportation for statewide travel.

RECOMMENDED WORK TRAITS: Knowledge of office practices, procedures, and equipment. Proficiency in English, spelling, and arithmetic. Understanding of office record-keeping and reporting. Ability to gather, assemble, correlate, and analyze information to identify existing or potential issues. Capability to contribute to the development of effective operational procedures. Sound judgment in evaluating situations and making routine decisions. Ability to follow specific instructions in gathering data or resources for organizing required information. Clear and effective communication skills. Ability to establish and maintain positive working relationships with colleagues and the public. Capability to work independently and collaboratively as part of a team. Willingness to maintain a professional appearance appropriate to assigned duties and responsibilities.
