Position Overview:Comprehensive Accounts Receivable Management
  • Oversee collections and maintain the Accounts Receivable Aging report
  • Establish new customer accounts with a focus on sales tax compliance, conducting thorough research for credit limit evaluations
  • Authorize invoicing for shipped orders
  • Distribute monthly statements and perform account reconciliations
  • Upload invoices to various customer portals (approximately 15)
  • Process cash deposits including ACH, checks, and credit card transactions, ensuring accurate entry into the accounting system
  • Maintain customer records, including setting up new shipping locations and updating contact information
  • Provide backup support for front desk and phone inquiries
  • Handle high-volume processing across three distinct companies
  • Manage agent orders and commission calculations
  • Address a significant volume of emails
  • Organize and maintain filing systems
  • Conduct end-of-month reconciliations
  • Prepare reports for management on Accounts Receivable and weekly cash flow
  • Change server backup tapes as required
  • Be open to cross-training in other departments and providing support as needed

Key Considerations:

Availability for one Saturday per month is required during peak sales meeting seasons; the ability to multitask and manage frequent interruptions is essential, along with a strict no cellphone policy. Success in this role demands functioning effectively in a high-pressure, high-volume environment.
