Job Overview

Saint Elizabeth University is seeking a dedicated and organized Administrative Assistant to provide essential support to the Physician Assistant Program. This role involves a variety of administrative tasks that are crucial for the smooth operation of the program.

Key Responsibilities:

  • Front Office Duties: Act as the initial point of contact for visitors, students, and staff. Manage phone calls and messages with accuracy and professionalism.
  • Administrative Support: Offer comprehensive office assistance to faculty and staff, including document preparation and file management.
  • Inventory Management: Monitor and order office supplies to ensure availability.
  • Meeting Coordination: Attend program meetings, prepare minutes, and assist in agenda preparation.
  • Event Planning: Support the organization of program-related events and activities.
  • Financial Tracking: Assist in processing invoices and maintaining financial records.

Daily Operations:

  • Collaborate with IT to address technological needs for classrooms and faculty.
  • Ensure all necessary equipment is prepared for classes.
  • Manage the PA Program Laptop Cart and maintain communication regarding program schedules and updates.

Admissions Support:

  • Provide assistance during the admissions process, including interview coordination and event organization.
  • Maintain a database of resources to support student retention and success.

Faculty Assistance:

  • Help faculty with scheduling assessments and organizing guest lectures.

Qualifications:

  • Education: Associate's degree preferred.
  • Experience: Minimum of two years in an administrative role, preferably in higher education.

Skills Required:

  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with learning management systems.
  • Ability to maintain confidentiality and exercise discretion.
  • Commitment to supporting the mission of the Physician Assistant Program and the university.

Work Environment:
