Position Overview

Porzio, Bromberg & Newman, P.C. is in search of a dedicated legal administrative assistant to provide essential support to attorneys within our Corporate Restructuring and Bankruptcy division. Key Responsibilities:

  1. Professionally manage all incoming and outgoing calls.
  2. Revise and finalize various materials, including correspondence, documents, and contracts, ensuring accuracy and clarity.
  3. Proofread and edit documents to maintain high standards of grammar and syntax.
  4. Facilitate communication by transmitting messages and managing conference calls.
  5. Oversee the handling of incoming and outgoing mail.
  6. Arrange travel logistics, including flights, accommodations, and transportation for attorneys and clients.
  7. Organize and maintain client files systematically.
  8. Coordinate meetings and appointments, including scheduling venues and preparing necessary materials.
  9. Maintain a calendar of meetings and travel, keeping attorneys informed of their commitments.
  10. Assist in the preparation and delivery of legal documents through effective word processing and communication.
  11. Conduct preliminary conflict checks to ensure compliance with legal representation standards.
  12. Implement a follow-up system for attorney requests to ensure timely responses.
  13. Review and edit billing statements prior to attorney approval.
  14. Manage e-filing and mass mailing processes, including submissions to courts and agencies.
  15. Handle sensitive information with discretion and confidentiality.
  16. Support the preparation of documents and spreadsheets related to client matters.
  17. Engage in additional administrative tasks to enhance team performance and client service.

Qualifications:

  1. Proficient in Microsoft Office Suite and capable of typing at least 75 words per minute.
  2. Strong verbal and written communication skills.
  3. Able to build effective working relationships across various operational groups.
  4. Excellent organizational skills with the ability to prioritize multiple tasks.
  5. Familiarity with data management systems.
  6. Willingness to learn legal terminology relevant to the position.
  7. Understanding of court rules and procedures is advantageous but not mandatory.
  8. Ability to comprehend specific procedures and instructions related to the role.
  9. Notary certification is a plus but not required.
