This position is responsible for welcoming patients and visitors with professionalism, whether through phone interactions or face-to-face engagements. The role includes initiating appointment scheduling and managing the check-in process for patients. It involves collecting and confirming essential identification and demographic information for the patient's permanent medical record, which is crucial for accurate billing while ensuring the confidentiality of all patient data.

Key responsibilities include handling point-of-service collections and engaging with patients directly to facilitate the registration and admission process. This role also entails verifying insurance coverage through electronic means, phone calls, or web applications, all while enhancing patient satisfaction through professional representation of the organization. The position requires versatility, as it supports various functions across all patient and payer categories.

Education Requirements

High school diploma or equivalent is required, with an Associate's degree preferred.

Experience Requirements

A minimum of one year of relevant experience in a hospital, clinic, medical office, business services/revenue cycle, frontline registration, financial counseling, banking, retail, or customer service is essential. Previous experience in a healthcare environment is advantageous.

Certifications

Preferred certifications include Healthcare Access Manager (CHAM), Healthcare Access Associate (CHAA), or a Medical Assistant certification (or other relevant medical specialty certifications).

Knowledge, Skills, and Abilities (KSAs)

  • Proficient computer skills and dexterity for data entry and information retrieval.
  • Strong verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Familiarity with Windows-style applications and various software specific to the role.
  • Excellent interpersonal skills.
  • Understanding of healthcare insurance benefits, payer guidelines for referrals and authorizations, and current knowledge of billing regulations at the federal, state, and local levels.
  • Aptitude for effectively presenting information and addressing inquiries from patients and customers.
  • Problem-solving skills and the ability to manage high-stress situations while maintaining professionalism.
  • Strong organizational, time management, and conflict resolution abilities.
  • Excellent decision-making and analytical skills, with a keen attention to detail.
  • Capability to collaborate effectively with other departments.
  • Sound judgment in managing and escalating challenging situations.

Primary Responsibilities

  • Deliver exceptional customer service to all patients, guests, and family members.
  • Facilitate the patient scheduling, clinic registration, or hospital admission processes.
  • Ensure all necessary forms are completed and documentation is accurate.
  • Efficiently gather and input patient and guarantor demographic and financial information; explain insurance benefits and collect applicable co-pays, deductibles, and self-pay amounts.
  • Conduct financial assessments for each case and inform patients of their financial obligations.
  • Balance cash drawers daily, prepare deposit slips, and adhere to closing cash drawer procedures at the end of each shift.
  • Exhibit respect and cooperation in all staff interactions, demonstrating a willingness to resolve interpersonal conflicts.
  • Adapt communication and behavior to suit the specific needs of diverse patient populations, ensuring respect for privacy and effective service delivery.
  • Perform other related duties as assigned.

Physical and Environmental Demands

The essential physical functions of this role include, but are not limited to, frequently exerting 10 to 20 pounds of force to move objects and occasionally exerting up to 100 pounds of force. The physical demand requirements exceed those for sedentary work. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

The incumbent works in a patient care environment, directly interacting with patients and handling specimens that may contain communicable diseases. There is an occupational risk for exposure to all communicable diseases.

Given the healthcare setting, there may also be a risk of exposure to hazardous medications or waste through various processes, including receipt, transport, storage, preparation, dispensing, administration, cleaning, and disposal of contaminated materials. The level of exposure risk may vary based on the specific duties of the role.
