Role Summary

The Studio Programs Administrator is responsible for facilitating and providing logistical support for studio programming, which includes working one weekend day each week during active programming sessions.

Key Responsibilities
  • Oversee weekend classes and workshops, ensuring smooth operations including monitoring participant arrival and departure, coordinating room usage, preparing necessary materials, and addressing any issues related to faculty and assistant substitutes.
  • Schedule and coordinate regular and emergency maintenance for studio facilities with the Building Maintenance team.
  • Collaborate with faculty and staff to assess supply requirements for all classes. Manage the ordering, distribution, and invoicing of supplies for studio programs, while overseeing inventory and maintaining supply storage areas.
  • Coordinate the engagement of artists' models by managing requests from faculty, scheduling, confirmations, and screening potential candidates.
  • Arrange for security personnel through Protective Services for after-hours studio program gallery visits.
  • Develop proficiency in our customer resource management database to manage studio class programs, including entering class information, processing registrations, and communicating with students.
  • Assist in the planning, curation, installation, and deinstallation of exhibitions in the Community/Education Wing.
  • Support the promotion of studio class programs through the planning and execution of open houses and reviewing class brochures.
  • Contribute to program evaluation efforts.
  • Uphold the mission, vision, and values of Worcester Art Museum, particularly in relation to our Diversity, Equity, Accessibility, and Inclusion initiatives.
  • Perform additional related duties as assigned.
Qualifications
  • Demonstrated ability to work collaboratively within a team as well as independently and proactively.
  • Strong and positive communication skills.
  • Proficient in prioritizing tasks effectively.
  • Meticulous attention to detail and exceptional organizational abilities.
  • Experience working with diverse faculty in a service-oriented capacity.
  • Familiarity with Microsoft 365 and a willingness to learn registration and scheduling software.
  • Commitment to advancing Diversity, Equity, Accessibility, and Inclusion at Worcester Art Museum.
  • Successful completion of a CORI and/or background check is required.
Education and Experience
  • Bachelor's degree or equivalent experience is required.
  • One to three years of experience in an administrative role; background in art education or experience with art materials and methods is preferred.
  • Flexibility in scheduling is essential, with attendance required on one weekend day each week during programming sessions.
  • Fluency in Spanish, Portuguese, Vietnamese, or ASL is preferred.
