Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the City of Dana Point, CA.

Job Summary:

The Administrative Assistant will provide administrative support to the Public Works department, performing a variety of responsible and complex administrative tasks. This includes answering incoming calls, greeting and directing visitors, responding to public inquiries, and resolving complaints in a customer-friendly and timely manner.

Key Responsibilities:
  1. Provide administrative support to the Public Works department, including answering phones, responding to emails, and preparing correspondence.
  2. Perform a variety of administrative tasks, such as data entry, record-keeping, and filing.
  3. Assist with special projects and events, such as preparing agendas, notices, and other documents related to city commissions and committees.
  4. Order office supplies and equipment, and maintain central stores for the department.
  5. Organize and maintain departmental record systems and databases.
Requirements:
  • High school diploma or equivalent required.
  • Two years of increasingly responsible administrative experience.
  • Knowledge of English usage, spelling, grammar, and punctuation.
  • Modern office procedures, methods, and equipment, including computer equipment and software.
  • General knowledge of municipal government.
  • Methods and techniques of effective customer service.
Working Conditions:

The work environment is primarily office-based with controlled temperature conditions and minimal exposure to hazardous physical substances. Occasional driving to meetings, events, and vendors may be required.
