Job Summary

Under general supervision, the Administrative Services Coordinator performs a variety of clerical and administrative tasks in support of the Parks and Recreation department. This includes maintaining operations, organizing and managing the volunteer program, and providing overall support as needed. The ideal candidate will have excellent customer service skills, be able to work independently, and have a strong attention to detail.

Key Responsibilities:

  • Provides customer service and accurate information regarding services provided by the Town.
  • Performs customer service functions by answering telephone and electronic mail requests and answers questions from employees and others.
  • Provides clerical and administrative assistance to the Parks and Recreation Director.
  • Assists with bi-weekly payroll for the Department.
  • Collects monies received from recreational activities; prepares deposits.
  • Coordinates memorial plaques and trees for park placement; meets with residents if needed; and orders plaques.
  • Assists with purchases within the department including issuing purchase orders and requisitions.
  • Restocks first aid kits as needed and maintains inventory of first aid supplies.
  • Schedules facility reservations, collects payment for rentals, and processes security deposits.
  • Manages, organizes, and maintains the department's volunteer program.

Requirements:

  • Requires an Associate's Degree in Office Management or related field supplemented by one to two years' related experience with public contact.
  • Special event and recreation experience preferred.

Working Conditions:

The Administrative Services Coordinator will work in a fast-paced office environment and will be required to spend prolonged amounts of time outside in direct sunlight. The ideal candidate will be able to work flexible hours as needed.
