Key Responsibilities:
  • Administrative Support
    • Provide high-level administrative support to ensure efficient office operations, including managing calendars, coordinating travel arrangements, and preparing correspondence.
    • Support our financial advisors and employees with organization and communication tasks, ensuring timely completion of projects and tasks.
  • Communication and Organization
    • Effectively communicate with clients, prospects, and internal stakeholders to ensure accurate and timely completion of tasks, including scheduling appointments and meetings.
    • Organize and prioritize multiple projects and tasks, managing competing deadlines and priorities.
  • Confidentiality and Time Management
    • Handle confidential and sensitive information with discretion, maintaining the highest level of professionalism and integrity.
    • Manage multiple projects and tasks, prioritizing deadlines and ensuring timely completion.
  • Administrative Tasks
    • Answer and direct phone calls, responding to inquiries and providing general support to visitors.
    • Maintain accurate and up-to-date contact lists, ensuring seamless communication with clients and stakeholders.
    • Produce and distribute correspondence, memos, and forms, ensuring timely and accurate completion.
    • Assist in preparing regularly scheduled reports, providing valuable insights and analysis.
  • Development and Maintenance
    • Develop and maintain a comprehensive filing system, ensuring easy access to important documents and information.
    • Order office supplies and materials, ensuring a well-stocked and efficient workspace.
    • Book travel arrangements and accommodations, ensuring seamless travel experiences.
    • Submit and reconcile expense reports, ensuring accurate and timely reimbursement.
  • Support and Development
    • Provide general support to visitors, including answering questions and providing information.
    • Provide research and analysis support, creating presentations and reports to inform business decisions.
    • Take dictation and transcribe documents, ensuring accurate and timely completion.
