Job Summary

The Administrative Assistant III plays a vital role in maintaining the highest level of confidentiality while working independently on multiple tasks simultaneously. This position requires the ability to focus and perform well under pressure, effectively prioritizing and meeting deadlines.

Key Responsibilities
  • Provides administrative support, including composition of letters and reports, as well as planning, developing, and completing assignments with minimal direction.
  • Exemplifies the Rush mission, vision, and values, and acts in accordance with Rush policies and procedures.
  • Coordinates and prioritizes multiple tasks, projects, and schedules, exercising discretion and independent judgment in daily activities and executive administrative details of a confidential nature.
  • Manages multiple calendars, requiring extensive attention to detail and the ability to make decisions regarding appointment priorities, organizes and schedules meetings, and prepares agendas and background information for various complex internal and external meetings and projects.
  • Prepares confidential correspondence, reports, and other documents, reconciles accounts payable requests, and answers administrative phone calls, receiving and screening patients and visitor's telephone calls, e-mails, and faxes.
  • Arranges travel and prepares itineraries for leadership to attend meetings, prepares and tracks reimbursement submissions, coordinates conference room reservations, and serves as the primary contact for monitoring, ordering, stocking office supplies, and managing office equipment maintenance and repair issues.
Requirements
  • High School Diploma.
  • Five years' administrative experience in a healthcare setting.
  • Strong project and time management skills.
  • Proactive and resourceful.
  • Customer-focused.
  • Excellent written and verbal communication skills.
  • Advanced software skills in Microsoft Office, including Excel, Access, and PowerPoint, scheduling/calendar software.
  • Ability to coordinate and prioritize multiple tasks, projects, and schedules.
  • Ability to work independently.
  • Ability to interact effectively and efficiently with all levels.
Preferred Qualifications
  • Bachelor's degree.
