DENTAL PATIENT SERVICES COORDINATOR JOB SUMMARY

The Dental Patient Services Coordinator serves as the initial contact for all individuals reaching out to the Health Center. This role necessitates a solid understanding of Medical/Dental office operations and the capability to accurately enter data into the electronic system. Attention to detail and exceptional interpersonal and customer service abilities are essential. This position involves welcoming, scheduling, and guiding patients through their visit.

DENTAL PATIENT SERVICES COORDINATOR ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Warmly welcomes and greets all patients, visitors, and guests, whether in person or via phone, with a strong emphasis on enhancing the Patient Experience.
  • Registers new patients and updates existing patient information by gathering comprehensive personal and financial details.
  • Ensures that all necessary household and income data is up-to-date.
  • Identifies insurance payers, verifies coverage, secures necessary authorizations, assigns the correct payment type, and collects any payments due.
  • Responsible for copying, scanning, and faxing documents as required.
  • Maintains provider schedules in accordance with office scheduling policies.
  • Answers all incoming calls promptly while upholding a courteous and consistent phone demeanor, utilizing proper phone etiquette.
  • Responds to inquiries from patients, prospective patients, and visitors in a polite manner.
  • Takes messages for providers and staff as necessary.
  • Ensures the front office and reception area are kept clean and organized.
  • Participates in training sessions and meetings as required.
  • Manages incoming and outgoing mail according to office protocols.
  • Prepares daily reports and batches for the business office.
  • Facilitates patient flow by adhering to check-in protocols, being mindful of delays, and communicating effectively with patients and clinical staff.
  • Anticipates inventory and equipment needs, communicating these to the appropriate personnel.
  • Completes billing and collection processes, preparing documentation for distribution to relevant sources.
  • Remains knowledgeable of and compliant with all HIPAA regulations to protect patient confidentiality.
  • May perform additional duties as assigned by management.

DENTAL PATIENT SERVICES COORDINATOR PATIENT INTERACTION EXPECTATIONS

  • Greet patients proactively.
  • Listen attentively, respond appropriately, and maintain eye contact with every patient.
  • Personalize each interaction with patients.
  • Clearly explain the care process to each patient.
  • Provide patients with timely updates throughout their visit.

DENTAL PATIENT SERVICES COORDINATOR EDUCATION, TRAINING AND EXPERIENCE

  • High School Diploma or GED is required.
  • A minimum of two years of experience in a Community Health setting is preferred.
  • Medical or Dental Assistant Certification is preferred.
  • Proficient in operating a computer and word processing software.
  • Bilingual in Spanish and English is mandatory.
  • Travel between clinics may be necessary.

DENTAL PATIENT SERVICES COORDINATOR COMPENSATION: $18-$20 hourly
