POSITION SUMMARY

The Project Assistant role at EMCOR Government Services is essential for supporting the project management team and ensuring smooth operations. This position reports directly to the Project Assistant Team Lead and collaborates closely with project management and field teams. The Project Assistant plays a vital role in delivering administrative support that contributes to the successful execution of projects and enhances customer satisfaction.

KEY RESPONSIBILITIES

Document Management

  • Assist in the establishment and maintenance of comprehensive project document controls.
  • Support project initiation and closure meetings, including organizing agendas and documenting meeting minutes.
  • Process changes to project drawings and communicate necessary information to field and project teams.
  • Facilitate the creation and response to requests for information.
  • Collaborate with project teams to compile and manage submittals and track product approvals.
  • Gather and organize all project close-out documentation in accordance with client requirements.

Financial Oversight

  • Manage project billing processes, including schedules of values, time and material billing, and compliance documentation.
  • Collect and submit necessary compliance documents as required by the project.
  • Assist subcontractors with monthly billing and ensure compliance with documentation requirements.
  • Work with project teams to address requests for proposals stemming from potential changes.
  • Generate and track potential change orders for approval.
  • Process changes to prime contracts and associated subcontract modifications as needed.

General Duties

  • Quickly acquire and apply knowledge of commercial practices and technical skills.
  • Work independently while effectively managing assigned tasks.
  • Evaluate assignments and propose improvements where applicable.
  • Maintain excellent organizational skills and a positive demeanor under pressure.
  • Adhere to all company policies, procedures, and safety protocols.
  • Comply with EMCOR's core values and ethical standards.
  • Availability to work full-time with occasional travel to job sites as necessary.

REQUIRED SKILLS AND QUALIFICATIONS

  • Ability to work collaboratively across departments with a strong team-oriented mindset.
  • Exceptional organizational and record-keeping skills.
  • Self-driven with a keen attention to detail and the ability to prioritize tasks effectively.
  • Capability to manage multiple responsibilities and meet daily deadlines.

  • Professional appearance and demeanor representing the company effectively.

PREFERRED EDUCATION AND EXPERIENCE

  • 1-3 years of relevant experience in supporting commercial construction projects.
  • High school diploma or GED is required; an associate degree in a related field may substitute for experience.
  • Familiarity with project phases from preconstruction to close-out is advantageous.

TECHNICAL SKILLS

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Experience with Adobe Acrobat.
  • Knowledge of project document control software is a plus.

LANGUAGE PROFICIENCY

Effective communication skills in English are essential for collaboration with various stakeholders, including customers, employees, and contractors.

WORK ENVIRONMENT

This position primarily operates in a standard office environment, with occasional travel to job sites. The role requires the ability to sit for extended periods, engage in verbal communication, and utilize a computer for various tasks.
