POSITION SUMMARY
The Project Assistant role at EMCOR Government Services is essential to the construction process, providing crucial administrative support to the project team. This position facilitates the successful execution of projects and enhances customer satisfaction.
KEY RESPONSIBILITIES
Document Management
- Assist in project initiation and maintain comprehensive document control systems.
- Support project meetings by preparing agendas and documenting minutes.
- Process changes in project drawings and communicate updates to relevant teams.
- Assist in generating and responding to requests for information.
- Collaborate with project teams to compile and manage submittals and track approvals.
- Gather and organize all project close-out documentation as per client specifications.
Financial Oversight
- Manage project billing processes, including schedules of values and compliance documentation.
- Coordinate with subcontractors on billing and compliance requirements.
- Assist project teams in responding to proposals related to potential changes.
- Track and manage change orders and their approvals.
- Process changes in prime contracts and associated subcontract agreements.
General Responsibilities
- Quickly adapt to commercial practices and technical skills.
- Work independently and efficiently after receiving initial guidance.
- Evaluate tasks and suggest improvements proactively.
- Maintain excellent organizational skills and a positive demeanor under pressure.
- Adhere to all company policies, procedures, and safety standards.

- Be available for a standard workweek with occasional travel as required.

QUALIFICATIONS

PREFERRED EDUCATION AND EXPERIENCE
- 1-3 years of relevant experience in supporting commercial construction projects.
- A high school diploma or GED is required; an associate degree in a related field may substitute for experience.
- Familiarity with project phases from preconstruction to close-out is advantageous.
TECHNICAL SKILLS
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Experience with Adobe Acrobat.
- Knowledge of project document control software is a plus.
LANGUAGE PROFICIENCY
Effective communication skills in English are essential for collaboration with various stakeholders.
WORK ENVIRONMENT
This position typically involves working in an office environment with occasional travel to job sites. The role requires sitting, speaking, and listening, along with the ability to operate a computer for extended periods.
