POSITION SUMMARY
The Project Assistant role at EMCOR Government Services is crucial to the construction process, providing essential administrative support to the project team. This position is vital for ensuring projects are executed with excellence and that customer satisfaction is achieved.
KEY RESPONSIBILITIES
Document Management
- Facilitate project initiation and maintain comprehensive document control systems.
- Assist in organizing project start-up and close-out meetings, including agenda preparation and minute-taking.
- Manage project drawing modifications and ensure timely communication of changes to field and project teams.
- Support the creation and response to information requests.
- Collaborate with project teams to compile and process submittals, tracking the approval of submitted materials.
- Gather and organize all project close-out documentation in accordance with client specifications.
Financial Oversight
- Administer project billing processes, including schedules of values, time and material billing, and compliance documentation.
- Collect and submit necessary compliance documents as mandated by project requirements.
- Assist in managing subcontractor billing processes and ensure compliance with documentation requirements.
- Work alongside project teams to address requests for proposals related to potential changes.
- Generate and track approval for potential change orders.
- Process changes to prime contracts and associated subcontract modifications as needed.
General Responsibilities
- Quickly acquire and apply commercial practices and technical skills.
- Independently manage assignments after receiving initial guidance.
- Evaluate tasks and propose improvements proactively.
- Exhibit excellent organizational skills and maintain a positive demeanor under pressure.

- Be available to work a standard schedule with occasional travel to project sites as required.

QUALIFICATIONS
To succeed in this role, candidates must demonstrate the ability to fulfill essential duties effectively. The following qualifications are essential:
- 1-3 years of relevant experience in supporting commercial construction projects is preferred.
- A high school diploma or GED is required; an associate degree in a related field may substitute for experience.
- A solid understanding of project phases from preconstruction to close-out is advantageous.
TECHNICAL SKILLS
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) is essential.
- Familiarity with Adobe Acrobat is required.
- Experience with project document control software, such as Prolog Manager, is a plus.
LANGUAGE SKILLS
Effective communication skills in English are necessary for collaboration with various stakeholders, including customers, employees, and vendors.
PHYSICAL DEMANDS & WORK ENVIRONMENT
This position requires the ability to perform tasks typical of an office environment. Responsibilities include prolonged periods of sitting, using a computer, and engaging in verbal and written communication. The role may also involve occasional travel to project sites.
