Job Summary

The Assistant Director of University Events is responsible for the strategic planning and logistical management of high-profile campus events. This role ensures that all events promote a positive image of the campus and reflect its brand, values, and culture. The successful candidate will interact with various stakeholders and campus colleagues, providing event planning expertise and overseeing the execution of multiple programs and events simultaneously.

Key Responsibilities

  • Develop and implement plans for complex events, managing multiple programs and events simultaneously.
  • Create systems and procedures to enhance and streamline the event management process, including technology and publicity.
  • Liaise with senior management, staff, and constituent groups to design, recommend, and provide coordination and project management for events.
  • Serve as a campus resource on event planning, advising on protocols and practices to ensure adherence to established standards.
  • Represent Community Relations and University Events on committees and advise the Director of University Events on various topics and projects.
  • Maintain a positive image of the campus through the successful development and management of high-profile events and interactions with constituents, alumni, and friends.
  • Seek and arrange guest speaker schedules, notify departments of key visitors, and plan off-campus events, including location scouting and publicity.
  • Triage event-related communications and exercise judgment in problem-solving for unforeseen situations.
  • Prepare and disseminate briefings to university officials on event logistics and their roles at events.
  • Research and work with external vendors to negotiate costs and services, develop and monitor event budgets, and determine logistical requirements and limitations of selected venues.
  • Organize and train volunteers, faculty, and students to support event execution.
  • Ensure that the campus's commitment to diversity and inclusion is represented in all university events.

Requirements

  • Bachelor's degree with five or more years' experience in event planning or program management.
  • Proven ability to work cooperatively and effectively with senior management, staff, and constituent groups.
  • Ability to independently set priorities, plan, organize, coordinate, and direct multiple, concurrent projects and complex tasks.
  • Ability to utilize independent judgment and manage sensitive and/or confidential information with discretion.
  • Strong communications and interpersonal skills.

Preferred Qualifications

  • Experience working within a higher education or non-profit environment.

Work Schedule

Monday-Friday, 8:30 AM - 5:30 PM, with flexibility to change schedule and/or work nights and weekends for events as business needs dictate.
