Position Overview:

A reputable non-profit organization is in search of a dedicated Temporary Administrative Assistant to provide essential support. This hybrid role entails working onsite three days a week and remotely for two days, with occasional travel required for team engagements. The standard working hours are from 10 AM to 6 PM, with potential for overtime during events. Compensation is based on experience.

Key Responsibilities:

  • Manage scheduling and maintain calendars effectively;
  • Coordinate and organize both internal and external meetings utilizing administrative tools (proficiency in Calendly, Google Suite, and Zoom is essential);
  • Document and distribute meeting minutes for executive personnel;
  • Develop spreadsheets to monitor budgets, projects, contact lists, and various organizational metrics;
  • Draft, edit, and circulate correspondence, memoranda, and reports;
  • Assist in managing accounts, including email and timekeeping systems;
  • Establish and maintain both electronic and physical filing systems;
  • Procure office supplies and investigate new suppliers;
  • Arrange travel logistics;
  • Continuously seek improvements in administrative processes.

Qualifications:

  • Experience in a non-profit or social justice setting is preferred;
  • Strong written and verbal communication abilities;
  • Excellent organizational, multitasking, and prioritization skills;
  • Proactive approach with good judgment, discretion, and confidentiality;
  • Familiarity with timekeeping systems;
  • Proficient in Microsoft Office, Google Suite, Calendly, and Zoom;
  • Experience in managing electronic files via cloud-based systems;
  • Adaptability to changing priorities in a fast-paced environment;
  • Ability to collaborate with diverse work styles;
  • Experience in event management is a plus;
  • Basic accounting knowledge is advantageous but not mandatory;
  • Minimum of 2 years of administrative experience is required;
  • Associate's degree is required; Bachelor's degree is preferred.
