Position Overview:

The Senior Executive Administrative Coordinator plays a crucial role in delivering high-level administrative assistance to top executives, including the Executive Vice President (EVP), along with their direct reports. This position is essential for facilitating executive operations and managing projects within the human services field.

The ideal candidate will have outstanding writing and project management capabilities, with experience in the nonprofit sector focused on supporting children, youth, and families.


Executive Assistance:
  • Embrace and advocate for the organization's Mission, Vision, and Core Values to ensure compliance with organizational policies.
  • Deliver comprehensive administrative support to senior leadership, which includes managing schedules, organizing meetings, preparing agendas, and coordinating travel logistics.
  • Serve as a communication bridge between executives and both internal and external stakeholders.
  • Handle sensitive information with the utmost confidentiality and professionalism.

Project Leadership:
  • Oversee and direct projects from initiation to completion, ensuring timely execution and budget adherence.
  • Create project plans, monitor progress, and maintain effective communication among all project participants.
  • Identify potential project risks and implement mitigation strategies.

Writing and Communication Skills:
  • Compose, edit, and refine executive communications, reports, presentations, and various documents.
  • Craft clear and concise communication materials tailored for diverse audiences.
  • Ensure all written content aligns with the organization's standards and objectives.

Sector Expertise:
  • Apply knowledge of child welfare, family well-being, and behavioral health to inform project development and execution.
  • Stay informed about industry trends, policies, and best practices.

Administrative Responsibilities:
  • Organize and facilitate executive team meetings, including preparation of materials and documentation of minutes.
  • Manage office operations, including supply ordering and equipment maintenance.
  • Process invoices, create purchase orders, and reconcile expense reports.
  • Maintain and utilize confidential files and information.
  • Provide administrative support to various divisions as needed.
  • Perform additional duties as assigned.

Qualifications:
  • Bachelor's degree in Human Services, Social Work, Public Administration, or a related discipline is required; a Master's degree is preferred.
  • A minimum of 3 years of experience in executive support and project management is essential.
  • Exceptional writing skills with the ability to produce high-quality documentation.
  • Proficiency in Microsoft Office Suite, Teams, and project management tools.
  • Knowledge of child welfare, family well-being, and behavioral health is highly advantageous.
  • Strong organizational and multitasking skills.
  • Excellent interpersonal and communication abilities.
  • Capacity to work independently and collaboratively within a team.
  • High level of integrity, discretion, and professionalism.
