Job Title: Administrative Assistant / Cash Room Coordinator

Position Overview:

This role collaborates closely with the Assistant Branch Manager and Branch Manager to guarantee the smooth functioning of the Cash Room. The incumbent is tasked with maintaining precise records of all Cash Room transactions. Regular follow-ups are essential to keep management informed about any discrepancies, debits, or fraudulent checks. Additionally, the role involves the distribution of cash when registers are opened and the collection of cash when they are closed.

Key Responsibilities:

  • Provide friendly, efficient, and professional service to customers.
  • Adhere to established policies and procedures to ensure compliance.
  • Ensure that the Cash Room and key box are secured at all times.
  • Maintain comprehensive records of financial transactions, including safe counts, toll vouchers, coupons, returned checks, coin orders, petty cash, IOUs, and key inventory.
  • Ensure that each business day is properly closed and balanced.
  • Follow established procedures for armored car pickups.
  • Input data such as returned check fees into proprietary software.
  • Review the bank's website daily to monitor bad checks and debits.
  • Examine weekly emails from the bank regarding credit inquiries.
  • Process cashiers' transactions at the end of each shift, maintaining records of discrepancies and providing corrective feedback for significant discrepancies.
  • Keep track of employee break schedules.

Additional Duties:

  • Perform other job-related tasks as assigned.

Qualifications and Skills Required:

  • A minimum of 2 years of relevant experience.
  • Ability to effectively communicate information and respond to inquiries from managers, employees, and customers.
  • Proficient in calculating figures and amounts such as discounts, interest, and proportions.
  • Strong oral and written communication skills.
  • Commitment to organizational values and a strong customer service orientation.

Work Environment:

  • The work environment typically maintains a moderate ambient temperature.
  • Job functions may require sitting, standing, and walking for extended periods, up to 4 hours without a break.
  • The pace of work is determined by customer activity levels.
  • Industrial vehicles may be present, moving materials throughout the area.
