Job Overview:

Under general supervision, the Administrative Support Assistant II is responsible for executing a comprehensive range of moderate to complex clerical and secretarial tasks that require sound judgment and discretion in support of an administrative unit or academic department.


Key Responsibilities:

Incumbents will:

  • Establish and manage their own priorities while handling multiple work assignments.
  • Assist in setting priorities for others while primarily being accountable for their own work outcomes.
  • Plan and coordinate clerical activities, providing guidance and training to colleagues in work processes and procedures.
  • Engage in varied assignments that necessitate regular use of judgment and discretion.
  • Perform reception duties, including document filing, telephone answering, and typing correspondence as required.

This pool will serve to notify interested candidates when new clerical and administrative opportunities arise.


Minimum Qualifications:

A high school diploma or equivalent AND two years of experience in general office clerical or secretarial work or an equivalent combination of education and experience.


Required Skills:

For positions requiring typing/keystroke skills, a minimum keystroke speed of 50 C.W.P.M. is essential. Candidates must successfully complete a skills assessment if typing or shorthand/Dictaphone skills are necessary. A thorough understanding of office methods, procedures, and practices, along with a solid grasp of correct English grammar, spelling, and punctuation, is required. Familiarity with applicable university policies and procedures is essential, as is proficiency in standard office software such as the MS Office suite.

The ability to independently learn, interpret, and apply complex policies and procedures is crucial, along with the capacity to identify deviations from applicable guidelines.

Independent judgment, discretion, and initiative are necessary to resolve issues and develop practical, thorough, and occasionally innovative solutions.

Competence in performing standard arithmetic functions of a transactional nature is required, as is the ability to collaborate effectively with a diverse group of individuals.


Compensation:

Classification: Administrative Support Assistant II

Salary Range: $3,338.00 to $4,913.00/month; hourly range is $19.26 to $28.34. Salary will be determined based on internal equity and experience among other factors.


Position Information:

Work Status: Full-time, Part-time, Temporary, Hourly, On-Call, Intermittent 'Non-exempt' positions.

Schedule: To be arranged by the hiring department. A pool of qualified candidates will be established for current and future vacancies.


Conditions of Employment:

Successful candidates will be required to undergo a background check and possess a valid Driver's License. This position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act.
